Office Administrator/ Coordinator, Education Administration
The Faculty of Science, Agriculture and Engineering is seeking an enthusiastic Education Administrator for a full‑time, fixed‑term position of 12 months. The post is based within the School of Computing and will report to the SAgE Faculty Professional Services team. In this role you will contribute to the delivery of an excellent student and colleague experience by supporting the full student lifecycle from recruitment to graduation and coordinating key academic processes, including placement activity.
The position is full‑time (37 hours per week), campus‑based on the Helix site in the centre of Newcastle upon Tyne, and will commence immediately after offer.
Responsibilities- Provide expert guidance to students and academic colleagues on standard and non‑standard queries and requests.
- Act as secretary for designated meetings and committees, including agenda preparation, circulation, producing bullet‑point actions and monitoring progress.
- Lead the collation of university documentation and data collection for Education processes.
- Assist with coordinated student activities such as external audits, student support on extenuating circumstances, Boards of Examiners processes and uploading of student marks.
- Supervise a team managing the allocation of duties and workload, where appropriate.
- Support school events, including student induction, social events and university and school visit days.
- Maintain a flexible attitude to work demands and customers and provide excellent customer service.
- Good IT skills with experience of the Microsoft suite of programmes.
- Excellent verbal and written communication skills, with the ability to tailor messages to appropriate audiences.
- Ability to follow and implement policies and procedures.
- Use of initiative and judgement to resolve problems independently.
- Ability to work calmly under pressure, manage competing deadlines, and maintain professionalism.
- Experience of administrative duties, including general meeting support, diary management and enquiry handling.
- Ability to train, develop and supervise other staff.
- Mathematics and English at GCSE Level 4 or equivalent, plus relevant experience in an administrative or customer service setting.
- Aptitude for utilising software tools and technologies to enhance, improve and simplify day‑to‑day functioning.
- Positive, proactive and professional, customer‑focussed attitude.
- Planned and structured working style, managing time effectively.
- Ensures all activities are completed on time and keeps team members updated.
- Willingness to help others, share workloads and maintain flexibility in planning.
- Responsible for achieving own targets and enhancing team performance.
