We are recruiting for a business administrator who will have a strong attention to detail, be able to competently manage a wide range of tasks efficiently to a high standard and provide excellent customer service to our team and clients. You will need to be able to work effectively as part of our Operations Team to achieve our aim of providing support across the organisation that reduce administration, measure impact and improve efficiencies.

The main objectives of the Operations Team at Sunderland Software City are to provide:

  • Foundational Support: Providing foundational systems and support to improve consistency and efficiency across the organisation

  • Audit Ready Projects: Developing the necessary documentation and infrastructure to measure and meet our funding and legal obligations

  • Continuous Improvement: Provide visibility and leadership around continuous improvement opportunities across the organisation

  • Positive Experiences: Create an environment where customers, staff and partners have a positive and memorable experience with us

Responsibilities

The Business Administrator will directly report into the Operations Manager and will provide administrative support to the wider Operations and other teams. More specifically:

  • Administration regarding our multiple venues, including (where necessary) the ordering of supplies, liaising with external suppliers and keeping an up-to-date inventory.

  • Fielding incoming telephone calls, emails and website enquiries to ensure that they are routed to the correct people in the organisation and responded to quickly and professionally.

  • Supporting the administration of our Human Resources functions, such as recruitment, onboarding, off-boarding, training and management systems.

  • Providing administrative support to all areas of the Operations Team, including compliance, impact measurement and technology functions.

  • Administration for project teams to help with events, reporting, monitoring, documentation and any other administrative functions required.

  • Supporting Sunderland Software City events and workshops as required, including preparation, setup and attendance at events.

  • Regular reporting into the Operations Manager and the wider Operations Team, to update on any observations, risks and improvements regarding administration across the organisation.

  • General administrative support as and when required, including supporting financial administration with the Finance Team.

We take a collaborative approach to development, and all the team are encouraged to be creative in their roles and contribute to the evolution of both the Operations Team and the wider organisation.

Important for success:

  • Excellent organisational skills, time management and attention to detail.

  • Discretion and honesty when handling confidential information.

  • An excellent communicator with an ability to work with all levels of stakeholders.

  • An understanding of IT systems, particularly Microsoft Office.

  • Ability to use initiative to problem-solve.

  • Ability to adapt quickly to changing priorities and manage multiple tasks simultaneously.

  • Ability to work effectively under pressure, balancing deadlines and resolving urgent issues as they arise while keeping on top of core responsibilities.

Nice to have:

  • Level 3 qualification or equivalent experience.

  • An understanding of the technology sector.

  • An understanding of processing financial administration such as processing expenses and booking holidays.

  • An understanding of regional and national funding (e.g Shared Prosperity Fund, European funding, Subsidy Control).
