We have an opportunity for an experienced Legal Assistant to join our Private Clients section, based in Newcastle.
Our Private Clients section is comprised of approximately 45 team members nationally and is led by award-winning and industry-leading partners and senior lawyers with extensive experience.
In this role, you will provide high level legal and administrative assistance across Private Clients matters, including estates and succession planning. You will play a key role in client liaison, managing files, billing and trust processes, safe custody administration, and client onboarding, while also acting as a knowledge resource for the broader support team.
The role offers part-time flexibility, with the option to work either three full days per week or reduced hours across five days, by agreement. The position is predominantly onsite, reflecting the hands‑on nature of the work, including physical file management, safe custody administration, and in‑person support for clients and the wider team.
You will be responsible for:
- Managing telephone calls, inboxes, calendars and client enquiries
- Preparing and sending correspondence, documents, briefs and reports
- Managing incoming and outgoing mail, scanning, filing and document distribution
- Opening, closing and archiving physical and electronic files, including conflict searches
- Preparing engagement agreements and supporting client onboarding
- Billing, invoicing, trust receipting, EFT processing and trust requisitions
- Conducting ASIC, address, rego, property and title searches
- Preparing and finalising documents for client meetings
- Liaising with internal and external stakeholders
- Assisting and supporting other legal assistants as required
- Undertaking general and ad‑hoc administrative duties
You will ideally have the following skills and experience:
- Minimum two years’ experience as a legal assistant or in legal administration
- Previous experience in estates and succession planning is desirable
- Knowledge of billing, trust accounting and safe custody processes
- Strong organisational skills with the ability to manage competing priorities
- Excellent communication skills and high attention to detail
- Confidence liaising with partners, lawyers, support staff and external parties
- Experience with Aderant and document management systems (e.g. Filesite) preferred but not essential
- A collaborative approach and willingness to support and mentor others
