JOB SUMMARY
This position is responsible for assisting with plan review submittals from multiple clients and keeping them informed of the review status. The individual will ensure that submittals are complete and ready for the plan review staff to conduct thorough reviews. Additionally, this role includes overseeing the timely completion of reviews and ensuring that appropriate fees are charged in accordance with client contracts.
RESPONSIBILITIES- Log in and log out all phases of plans from jurisdictions into the Plan Check Database (e.g., New Projects, Corrections, Re-Submittals, and Approvals).
- Scanning, collating and bookmarking submittal files
- Ensure all plans are assigned to a plan checker and that information is accurately entered into the Plan Check Database.
- Periodically drive to other sites to pick up or drop off plans.
- Able to learn City portals to retrieve information and update status according to jurisdictional protocols.
- Provide confidential administrative support to leadership, perform general clerical duties, and ensure the accuracy of entered information.
- Interact with internal and external customers, collaborating effectively with multiple teams.
- Monitor and respond to all email and phone inquiries in a timely manner.
- Ensure plans are scanned and uploaded to the Plan Check Database.
- Log out plans with Corrections or Approval
- Review plan reviewer comments and/or transmittals, editing and reformatting as needed to ensure correct contact details, plan check number, and address information.
- Ensure comments to applicants and jurisdictions follow specific protocols.
- Verify plans are correctly stamped upon approval, seeking guidance from plan reviewers when needed.
- Collate and prepare plans for packaging and shipping (courier or overnight).
- Track and order department supplies as needed.
- Provide backup support to the Development Review Supervisor as needed.
- Perform additional tasks assigned to support the success and operational efficiency of the building department.
- Two years of previous office skills
- A high School diploma, or GED is required. College, or some college is a plus.
- Attention to detail and strong organizational and time management skills.
- Experience with record keeping, document review, filing, scanning, photocopying.
- Ability to type or input data quickly and efficiently along with multitasking
- Exceptional customer service and time management skills.
- Critical thinking and problem-solving skills to identify and resolve problems in a timely manner.
- Excellent communication skills toward effective collaboration and client services.
- Excellent computer skills;
Proficient in Microsoft Office and Outlook. - Possession and maintenance of a valid Class “C” California driver’s license with a satisfactory driving record is required.
- General office environment.
- Work productively independently or in a team environment.
- Occasional overtime work is required throughout the year.
- Regularly requires working in sitting position at workstation for extended periods.
- Regularly requires working with computer for extended periods.
- Require walking, bending, and sitting.
- May require lifting up to 35 pounds.
- Must be able to travel to client sites and/or job sites.
- Capacity to work in a fast-paced environment with deadlines and multiple projects.
