Opportunity

The Mrs. Claus Fundraiser is an annual holiday initiative run by Social Enterprise for Canada that connects generous sponsors with families in need across York Region. The program works with trusted local agencies to identify families, collect wish lists, match them with sponsors, coordinate gift card fulfilment, and facilitate pick-up and distribution before the holidays. The Mrs. Claus Coordinator will be the primary operational lead for the 2026 campaign, owning end-to-end coordination across agencies, sponsors, and internal teams from launch through wrap-up.

This part-time contract role is ideal for a highly organized, community-minded individual who thrives in a deadline-driven environment and is comfortable managing multiple stakeholder relationships simultaneously. The coordinator will manage communications, intake processes, matching logistics, gift card tracking, and distribution coordination to ensure every registered family receives their holiday gift cards on time.

Key Job Responsibilities Program Launch and Outreach (October)
  • Launch and manage the Mrs. Claus social media campaign in coordination with the communications team.
  • Contact partner agencies using established email templates to recruit participating families.
  • Distribute and monitor the Agency Intake Form to collect family profiles, circumstances, sizes, and gift card preferences.
  • Outreach to sponsors (individuals, businesses, and community groups) using sponsor email templates and intake forms.
  • Send follow-up reminder communications to agencies and sponsors one week before registration deadlines.
Registration and Matching (Late October – Early November)
  • Oversee and track agency and sponsor registrations using program spreadsheets and registration response logs.
  • Coordinate family-to-sponsor matching using the automated matching sheet; review for accuracy before outreach.
  • Send matched confirmation emails to sponsors with assigned family details and shopping instructions.
  • Target: all registrations complete and matches confirmed by the first week of November.
Gift Card Collection and Tracking (November – Early December)
  • Send gift card drop-off reminders to sponsors approximately one week before the deadline (first week of December target).
  • Maintain the gift card logging sheet, sorting by card type and donation value.
  • Troubleshoot the gift card receipt submission process and coordinate any outstanding form issues with internal tech support.
  • Send family assignment details to agencies, including information about the thank-you letter process.
Distribution Coordination (December)
  • Send gift pick-up emails and reminder communications to recipient agencies and families.
  • Manage the gift card pick-up scheduling form and coordinate pick-up time slots.
  • Oversee gift card inventory, organize by family assignment, and ensure complete and accurate distribution.
  • Notify agencies of their pick-up schedules and confirm receipt of gift cards.
