Position Overview

The Warehouse Administrator plays a critical role in ensuring smooth operations within a freight forwarding warehouse. This position combines administrative accuracy with hands-on coordination, supporting inventory control, shipment documentation, compliance, and communication between warehouse staff, carriers, and customers.

Key Responsibilities

• Documentation & Compliance
  • Prepare and maintain shipping/receiving records, bills of lading, and customs documentation.
  • Ensure compliance with freight forwarding regulations, safety standards, and company policies.
  • Track and file import/export paperwork for audits and reporting.
• Inventory & Data Management
  • Monitor stock levels, reconcile discrepancies, and update warehouse management systems (WMS).
  • Generate daily/weekly reports on inbound/outbound shipments and warehouse activity.
  • Support cycle counts and audits to maintain accurate inventory records.
• Operational Support
  • Coordinate scheduling of inbound and outbound freight with carriers and warehouse staff.
  • Assist with order processing, labeling, and dispatch preparation.
  • Communicate with freight forwarders, trucking companies, and internal teams to resolve issues.
• Customer & Vendor Interaction
  • Respond to inquiries regarding shipment status, documentation, and delivery timelines.
  • Liaise with vendors and service providers to ensure timely and accurate freight movement.
• Administrative Duties
  • Maintain organized filing systems (digital and physical).
  • Process invoices, purchase orders, and expense reports related to warehouse operations.
  • Support HR and safety compliance tasks as needed.

Qualifications

• Previous experience in warehouse administration, logistics, or freight forwarding preferred.
• Strong knowledge of shipping documentation, customs requirements, and warehouse processes.
• Proficiency in Microsoft Office and warehouse management systems (WMS).
• Excellent organizational skills with attention to detail.
• Strong communication skills for coordinating across teams and external partners.
• Ability to multitask in a fast-paced environment.
