Position Statement:
Under the direction of the Director of Diagnostic Imaging, the diagnostic imaging patient care coordinator will greet patients upon arrival the day of their exam; schedule diagnostic imaging exams in the radiology information system (RIS), including registering the patient using the hospital electronic medical record (EMR) computer system. The diagnostic imaging patient care coordinator communicates with various department staff, hospital departments, and physicians’ offices to assist in patient care.
The following statements reflect the general duties considered necessary to describe the principal functions of the job as identified and shall not be considered as a detailed description of all the work requirements that may be inherent in the position.
- Cordially and efficiently greets and registers patients upon check‑in, to include preparing necessary forms and obtaining patient signatures for general consent to care, scanning insurance cards, and photo .
- Acknowledges patient in RIS and communicates any delays in scheduled appointments to the patients upon check‑in.
- Assist patient to correct waiting location and oversees the waiting area to ensure patients are updated regarding wait times as applicable.
- Works collaboratively with radiology technologists and Radiologists and Registration staff to provide support in any manner necessary.
- Reviews “no show” and “missed appointments” in RIS and notifies patients by phone or letter of missed appointment, as well as ordering provider’s office.
- Reschedules patients missed appointment as appropriate.
- Manages image tracking for outside image requests from provider offices and documents image location in RIS Image Tracking.
- Knowledgeable in releasing images to various outside facilities and documentation required to release imaging studies.
- Update Magview with incoming outside exams as applicable.
- Is knowledgeable of how to properly open and close the front office and scheduling office.
- Manages incoming providers orders in the scheduling area, and files paperwork according to department policy.
- Schedules and pre‑registers patients over the phone or in person using RIS & EMR according to department policy.
- Verify schedule information completeness and performs call confirmations for the next day scheduled appointments, to include directing patients to complete any missing preparation, if necessary.
- Reschedules patients as needed.
- Return patient messages throughout the day.
- Ensure schedule is filled for next day in each modality.
- Maintain office supplies in front office and scheduling office.
- High School Diploma or equivalent
- Medical terminology required
- Computer competence required
- Excellent customer service and public relation communication skills required including verbal, written, and electronic
- Ability to maintain confidentiality is essential
- Ability to follow NCH’s standards of behavior
- Must demonstrate competency in ability to schedule all types of medical imaging procedures and demonstrate detailed knowledge of all departmental patient preps for various modalities
- One year prior office experience preferable. Prior work experience within a busy radiology department is helpful. Will consider on‑the‑job training for individual with good work ethic and positive attitude
