Job Title: Bereavement Services Administration Officer
Location: Mossley Mill / Civic Centre
Rate of Pay: £16.90
The Role
We are currently recruiting an experienced Bereavement Services Administration Officer to provide an efficient, professional and compassionate administrative service within the Antrim and Newtownabbey Borough Council.

Main Responsibilities
- Manage cremation bookings, ensuring all information is complete and accurately recorded on relevant systems.
- Receive, check and process statutory, medical and other required documentation in line with legislation, Council policies and procedures.
- Ensure completed cremation documentation is accurate and submitted to the Medical Referee for authorisation.
- Liaise with the Crematorium Administrator, Registration Services, funeral directors and other relevant agencies to ensure documentation is processed promptly.
- Prepare medical certificate notification lists for registration purposes.
- Maintain accurate electronic and manual records, using Microsoft Office and relevant Council systems, in accordance with data protection requirements.
- Maintain effective information, quality management and filing systems, including the secure archiving and disposal of cremation records.
- Process payments, reconcile receipts and maintain accurate financial records in line with Council procedures.
- Provide a professional, courteous and sensitive service to bereaved families, members of the public and funeral directors.
- Handle telephone, counter and written enquiries, including complaints, in accordance with Council standards.
- Maintain appropriate stationery and office stock levels.
- Provide support, coaching and mentoring to colleagues where required.
- Comply with all relevant health and safety, COSHH, manual handling, risk assessment and accident reporting requirements.
- Provide administrative support to the Cemeteries service as required, including occasional Saturday morning duties.
- Work flexibly outside normal office hours and support other Council services during emergencies when required.
- Undertake any other duties relevant to the role as directed.
General Responsibilities
- Work collaboratively as part of the crematorium administration team.
- Provide high-quality internal and external customer service, taking ownership of queries and ensuring they are followed through to resolution.
- Maintain and develop knowledge and skills relevant to the role.
- Comply with all Council policies, procedures and standards, including those relating to health, safety, wellbeing and safeguarding.
- Promote equality, diversity and respectful behaviours in line with Council values.
What We're Looking For
You will need:
- At least 1 year's relevant experience in:
- A professional bereavement or related service environment.
- A busy, customer-facing office working to tight deadlines in a sensitive environment.
- Administrative and cash-handling duties.
- Interpreting and applying regulations, policies and procedures accurately.
Essential Skills and Abilities
- Excellent customer service and communication skills.
- Ability to listen, understand, accurately record and communicate information.
- Ability to deal with bereaved people and other service users with empathy, sensitivity and professionalism.
- Ability to work effectively as part of a team.
- Ability to manage competing priorities and meet strict deadlines.
- Good IT skills, including Microsoft Word, Excel and Outlook, with the ability to process, analyse and present information accurately.
Essential Knowledge
- Ability to work within strict legislative requirements and high service standards.
- Ability to maintain accurate records and manage confidential information appropriately.
Desirable
- Knowledge of cremation legislation and procedures.
Other Requirements
- Willingness to work occasional overtime and outside normal office hours to meet service requirements.
- Flexible approach to supporting other Council services when required.
