Job Title Quality & Compliance Officer Reports To Quality & Compliance Manager Location Newtownabbey/Hybrid/Office Based (with travel as required) Hours 37.5 hours per week (Flexible working hours) Salary £26,679 - £31,325 per annum Purpose of the Role The Quality & Compliance Officer will support the delivery and administration of quality assurance, compliance, governance and risk management systems across the organisation.

The postholder will help ensure accurate record keeping, support audit and inspection activities, maintain compliance frameworks, and contribute to continuous improvement initiatives that promote regulatory compliance and service excellence. [

Key Responsibilities Governance & Compliance Support the implementation and maintenance of organisational policies, procedures and governance frameworks. Maintain central registers for policies, procedures and compliance documentation. Monitor compliance with internal policies and external regulatory requirements. Maintain compliance trackers, records and supporting documentation. Assist in preparing reports, papers and documentation for governance meetings and committees. Quality Assurance & Audit Support the coordination and administration of internal audit programmes.

Assist with audit scheduling, evidence collection and report preparation. Maintain audit records and monitor corrective and improvement actions. Support teams in preparing for external inspections, audits and reviews. Contribute to quality improvement activities and compliance monitoring. Risk Management Assist in maintaining the organisational risk register. Support the identification, recording and review of operational and service risks. Track risk mitigation actions and ensure records remain accurate and current.

Assist in developing processes that support resilience and business continuity planning. Complaints & Feedback Management Support the administration of complaints, compliments and feedback processes. Log, track and monitor complaints to ensure timely and appropriate responses. Assist in analysing trends and identifying opportunities for service improvement. Produce reports and summaries for management review. Data Management & Reporting Maintain accurate and up-to-date quality, compliance and governance records.

Gather, analyse and present data to support informed decision-making. Produce regular reports, dashboards and performance information. Ensure compliance with data protection legislation and secure handling of confidential information. Continuous Improvement Support organisation-wide continuous improvement initiatives. Monitor action plans and improvement activities, ensuring progress is tracked. Respond to queries from managers and staff regarding quality and compliance matters. Promote the sharing of learning, best practice and service improvements.

Stakeholder Engagement Build effective working relationships with colleagues and external stakeholders. Support communication and information sharing across departments. Provide guidance and assistance relating to quality and compliance activities where appropriate. Training & Awareness Support the coordination and administration of compliance-related training. Assist in promoting awareness of policies, procedures and regulatory requirements. Contribute to the development of a culture of quality, accountability and continuous improvement.

Administration Provide comprehensive administrative support to the Quality & Compliance function. Maintain filing systems, databases and organisational records. Schedule meetings, prepare agendas, take minutes and monitor follow-up actions. Ensure accurate record keeping and document control processes are maintained. Person Specification

Essential Criteria Level 4 qualification (or equivalent) in Business, Health & Social Care, Quality Management or a related discipline, together with at least two years' experience in an administrative, quality, compliance or governance role; OR Level 3 qualification (or equivalent) in a relevant discipline with at least three years' experience in an administrative, quality, compliance or governance role. Knowledge & Experience Experience supporting quality assurance, compliance or governance processes.

Good understanding of audit, governance and risk management principles. Experience monitoring, recording and reporting on complaints, feedback or quality-related activities. Experience managing sensitive information and maintaining accurate records. Experience producing reports and analysing data to support decision-making. Excellent organisational and administrative skills. Strong analytical and problem-solving abilities. Excellent written and verbal communication skills. Ability to prioritise workload and meet deadlines.

Strong interpersonal skills with the ability to engage effectively with a wide range of stakeholders. Proficient in Microsoft Office 365 applications, including Word, Excel, PowerPoint and Outlook. Full driving licence and…
