Ops Two builds practical business systems for growing companies using tools like Airtable, Zite, Make, n8n, Fillout, and other no/low-code platforms.

Our clients usually come to us when their work is spread across spreadsheets, emails, manual follow-ups, and disconnected tools. We help them build cleaner systems for project tracking, client portals, reporting, workflows, automations, and dashboards.

We've worked across real estate, education, recruiting, financial services, nonprofits, and medical operations.

Why We're Hiring
Ops Two is growing, and the founder still personally handles too much client communication, follow-up, delivery tracking, and expectation management.

We are hiring someone who can help own the space between:
'Yes, we'll do this'  and  'Here's the finished system.'

Your job is to keep clients informed, developers unblocked, and commitments on track.
This is a client-facing delivery role. It is not a marketing role, admin-only role, or developer role.

What You'll Do
You will help manage client communication and delivery from the first client conversation onward.

Your work will include:
Managing client communication, follow-ups, approvals, and missing inputs
Preparing for and joining client calls
Capturing notes, actions, decisions, and risks
Translating client conversations into clear, contextual tasks for developers — including relevant data, tool references, and expected outcomes
Tracking deliverables, timelines, and project commitments
Coordinating between clients, developers, and the founder
Flagging delays, scope changes, and risks early
Maintaining project trackers, task lists, and delivery records
Occasionally gathering material for testimonials, case studies, Linked In, or blog inputs

The goal is simple:  keep clients informed and projects moving.

What 'Good' Looks Like
You're doing well when:
Clients get proactive updates before they have to chase us
Developers start work with clear context, not forwarded email threads
Project trackers are current and useful
Delays are flagged early
The founder is pulled in for decisions, not routine status updates
Clients feel the project was smooth and well-managed

How the Role Grows
Months 0–2:  Learn Ops Two's tools, process, clients, and delivery style. Shadow calls, organise project notes, and handle basic follow-ups with guidance.

Months 3–4:  Join client calls more actively, prepare agendas and follow-ups, coordinate with developers, and begin managing routine client communication.

Month 5+:  Own day-to-day delivery coordination more independently. Manage client accounts, track delivery, and escalate only what needs founder-level input.

What We're Looking For
You should have:
2+ years of client-facing experience in a tech, SaaS, no-code, IT services, or tools-based environment
Strong written English
Confidence speaking with clients
Experience configuring (not just using) at least one project/task management or business tool — such as Airtable, Asana, Monday, Jira, Trello, Click Up, Hub Spot, or similar. You should know the difference between using a tool and setting it up for others.
Strong follow-up habits
Good judgment about when to act and when to escalate
Curiosity to understand how tools and workflows fit together

Strong plus:
Familiarity with the configuration side of Airtable, no-code tools, SaaS platforms, or working alongside developers

Experience with tools like Slack, Missive, Notion, Make, Zapier, or n8n
Experience writing client updates, meeting notes, documentation, or project summaries
You've explained a technical concept, integration, or system behaviour to a non-technical client

You do not need to code. But you should be comfortable in a technical environment. You'll regularly encounter terms like API calls, field mapping, automation triggers, XML, CSV, webhooks, and database tables. You don't need to build these things, but you need to understand what they do well enough to coordinate delivery and communicate clearly with clients.
