Description
The Marketing and Administrative Assistant serves as the first point of contact for Senior Services of southeastern Virginia, helping create a welcoming, professional experience for clients, visitors, community partners, and callers. This position is responsible for the day-to-day operation of the front desk while also providing administrative and creative support to the Marketing and Development Department. The successful candidate will be comfortable interacting with a variety of people, able to manage multiple priorities, and enjoy a role that combines people, organization, and creativity.
This position reports to the Senior Director of Marketing and Development.
- Greet visitors, clients, vendors, and community partners in a friendly, professional manner.
- Answer incoming phone calls, provide basic information, and direct callers to the appropriate staff member or program.
- Maintain a professional, clean, organized, and welcoming reception and lobby area.
- Manage incoming and outgoing mail and deliveries.
- Sort and distribute staff mail.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide general administrative support, assist with special projects as needed, and perform other duties as assigned.
- Assist with the day-to-day management of Senior Services' social media platforms, including creating and scheduling content.
- Help maintain the organization's social media calendar and ensure posts are prepared on schedule.
- Monitor social media and Google accounts for comments, messages, and engagement and route questions or concerns to the Marketing Director.
- Assist with organizing photos and videos in the organization's media library.
- Help promote Senior Services programs, events, volunteer opportunities, fundraising campaigns, and community activities.
- Assist with basic updates to marketing materials, website content, and other communications as assigned.
- Support community outreach, special events, and marketing projects as needed.
- Enter donations and maintain accurate donor records in the organization's CRM, ensuring information is recorded promptly and correctly.
- Support the preparation and mailing of donor acknowledgments and other development correspondence.
- Assist with administrative tasks related to fundraising campaigns, events, sponsor ships, and donor communications.
- Handle donor information with a high degree of confidentiality and attention to detail.
- Excellent interpersonal and customer service skills, with the ability to interact professionally and compassionately with older adults, caregivers, staff, donors, volunteers, and community members.
- Strong organizational skills and attention to detail.
- Ability to manage multiple responsibilities, shift priorities, and stay organized in a busy front-desk environment.
- Strong verbal and written communication skills.
- Strong proofreading skills and the ability to write high-quality content for social media and other communications.
- Comfortable communicating by phone and interacting with the public, including handling customer complaints, throughout the workday.
- Dependable, professional, positive, and able to work both independently and as part of a team.
- Good judgment and ability to handle confidential information appropriately.
- Comfortable working alongside volunteers and interns.
- High school diploma or equivalent.
- Minimum two years' work experience.
- Strong working knowledge of Microsoft Office, including Outlook, Word, and Excel.
- Proven experience with Facebook, Instagram, Linked In, and Canva.
- Comfortable learning new software, databases, and digital platforms.
- Previous office, administrative, reception, retail, hospitality, or customer service experience.
- Experience in marketing, communications, social media, or fundraising.
- Proficiency with Word Press.
- Experience with CRM/database software.
This position is an office-based role. The position requires the ability to sit for extended periods, lift and move items weighing up to 25–30 pounds, and engage in frequent phone and in-person conversations throughout the workday.
