Position: Administrative Analyst – Procurement (Job ID: 1159)

Purpose

The Administrative Analyst is a highly organized and detail-oriented individual performing key administrative and analytical tasks critical to the successful operation of our shipyard. This position provides essential support for the Procurement Department, enterprise repair and maintenance budgeting processes, regulatory compliance and permitting processes, and aids shipyard and enterprise staff.

Demonstrating sound business acumen and a command of current business tools, the Analyst handles multiple complex projects with competing deadlines and good priority judgement. This full‑time onsite role may require occasional flexibility in working hours and hours beyond a standard week to accommodate business needs.

Job Description
  • Create and maintain a comprehensive documentation system for procurement and departmental needs, supporting consistent formatting and easy access.
  • Gather, collect, record, analyze, and track data from multiple resources, prepare detailed reports, and present findings and updates to leadership on various initiatives, including project budgeting.
  • Collaborate with the IT team and internal stakeholders to implement new administrative systems and processes or modify existing ones to align business objectives with current and future technologies.
  • Manage the creation, ongoing development, and oversight of the department’s intranet site using SharePoint.
  • Prepare regular reports and provide updates on project performance, progress, and any identified risks or issues.
Additional Responsibilities
  • Support leadership’s calendar needs, coordinate appointments, deconflict schedules, and oversee the overall department project schedule to ensure milestones and deadlines are met. May also support inbox/communications management and travel coordination.
  • Perform various administrative tasks, functional support, and collaborate with teams to improve departmental operational efficiency through continuous improvement and the use of technology and business tools (e.g., SharePoint, Teams).
  • Analyze and evaluate existing administrative processes, systems, and infrastructure, identify improvement areas, and develop creative solutions.
Qualifications
  • Bachelor’s degree in business, information technology, or a related field (or equivalent experience) and 5‑7 years of progressive administrative experience.
  • Strong command of business tools, including Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and proficiency in SharePoint.
  • Experience with data management, reporting tools, and database systems (e.g., SQL Server, Oracle, Microsoft products) to compile and generate reports, statistics, timelines, tables, graphs, correspondence, and presentations.
  • Excellent written and oral communication skills with internal and external stakeholders at all levels; commitment to process excellence with strong organizational, detail‑oriented, problem‑solving, and analytical skills.
  • Ability to work independently and collaboratively, managing multiple priorities effectively.
  • Current industry awareness and adaptability to new/emerging technologies, evolving business needs, industry trends, and best practices.
  • Handling confidential information with discretion.
  • Strong attention to detail and the ability to deliver quality work under tight deadlines.
  • United States citizenship.
Preferred Qualification
  • Experience working with Deltek Costpoint is highly preferred.
Travel Requirements
  • Minimal travel; 10% or less.
Physical Requirements
  • Remaining in a stationary position, often standing or sitting for prolonged periods.
  • Sitting and working on a computer for long periods.
  • Moving about, accomplishing tasks, or moving from one worksite to another.
  • Communicating with others to exchange information.
  • Light work that includes moving objects up to 20 pounds.
