Under general supervision, performs a variety of technical‑clerical work preparing and maintaining computer databases pertaining to student attendance and demographic statistics in an assigned elementary school. Utilizes specialized computer‑driven file maintenance, word processing, and spreadsheet programs that are part of the student information system to develop and maintain records of student attendance, class schedules, grades, immunizations, and more, and to generate federal, state, and local reports.
Reviews forms and handwritten information, entering data into proper computer files.
Employee is also responsible for troubleshooting errors or other operational problems with computers and peripheral equipment, installing software, preparing various correspondence and forms, answering telephones and assisting visitors, and general clerical tasks. Reports to a Principal or Assistant Principal.
Minimum Training and ExperienceGraduation from high school and 1–2 years of experience in clerical work involving use of computer‑driven word processing, spreadsheet and file maintenance programs; or any equivalent combination of training and experience.
Performance Responsibilities- Utilizes the computerized student information system to enter, store, and retrieve information as requested.
- Selects data from varied sources, summarizes information for standard reports, and prepares reports for building administrators, school system administrators, and the State Department of Public Instruction.
- Prepares and maintains computer records of daily student attendance, reconciles forms, prepares “tardy” and “early leave” lists, and sends correspondence to parents regarding excessive absences.
- Prepares attendance reports and reconciles manual and computer reports monthly.
- Maintains database of student enrollment with detailed demographic and health information; records suspensions, withdrawals, and prepares statistical reports.
- Participates in training as directed by the district.
- Maintains records of students’ scores on state‑mandated tests and standardized tests for school accountability.
- Compares various data against other information systems and resolves discrepancies.
- Troubleshoots hardware and software problems, determines causes, and applies corrective steps.
- Provides information and training to school staff on the use of the student information system.
- Facilitates transfer of student information between schools.
- Performs routine maintenance on computers and peripheral equipment.
- Serves on various school and district committees as appropriate.
- Attends seminars, workshops, and classes to enhance knowledge of database management trends.
- Assists teachers and principals with scheduling projects.
- Composes correspondence and prepares forms with accurate spelling, punctuation, and formatting.
- Answers telephones, greets visitors, and relays messages.
- Performs other related work as required.
Physical Requirements:
Use of office equipment, light lifting, standing and walking for extended periods (Light Work).

Skills and Abilities
- Considerable knowledge of department operations.
- General knowledge of common word processing, spreadsheet and file maintenance programs.
- Knowledge of programs such as Excel, Word, SQL and database query tools.
- General knowledge of principles of organization and administration.
- Ability to transcribe information and prepare standardized forms, letters and reports.
- Ability to operate common office machines and process documents such as purchase orders and invoices.
- Ability to sort and distribute documents and maintain complete and accurate records.
- Ability to respond to questions based on extensive department knowledge.
- Ability to follow oral and written instructions and type accurately at a moderate speed.
- Ability to establish and maintain effective working relationships.
Full‑time for twelve months.
Salary:
Grade 61.
