Job Overview

M-W Electric Inc. is seeking a sharp, detail-oriented Construction Administrative Assistant to support our growing office and project management teams. This role is ideal for an individual with accounting experience, strong organizational skills, and the motivation to grow into roles such as AP Assistant or Accounts Payable. You'll play a key role in keeping our operations efficient, accurate, and on track - from asset management to vendor coordination.

Key Responsibilities
  • Perform general administrative tasks: filing, reception, mail sorting, folder creation
  • Schedule and track NC811 Dig Tickets
  • Label and manage assets for vehicles and equipment; maintain tracking database
  • Coordinate travel for employees and prepare related expense reports
  • Track deliveries, verify shipments, and manage supply orders
  • Order materials and supplies online; monitor inventory needs
  • Job cost credit card receipts and maintain organized electronic filing systems
  • Provide office support for problem-solving and process improvements
  • Assist with social media updates and website content (including booking events)
  • Support construction teams with documentation, certificates of insurance, and AIA forms
  • Able to learn and operate Vista, Procore, and other internal construction management software
Qualifications
  • Experience in an administrative or accounting support role
  • Associate's degree preferred; high school diploma required
  • Accounting experience is required
  • Proficient with Microsoft Office (Excel, Word, Outlook) and Adobe
  • Familiarity with construction software (Vista, Procore, Share File) preferred
  • Comfortable handling multiple tasks in a fast-paced environment
  • Excellent communication skills and ability to handle sensitive information with discretion
  • Strong math and technology skills
  • Detail-oriented, organized, and self-motivated
  • Able to lift 40 - 45 lbs on occasion.
  • Ability to approach problems both creatively and logically
