- Oversee and optimize the operational efficiency of the fleet, managing mobile assets including vehicles, equipment, telematics, and DOT compliance.
- Play a pivotal role in implementing strategic company policies and procedures, maintaining a high level of reliability, and maximizing cost‑effectiveness.
- MUST be located in the Kingstown, RI area – this is an onsite position.
- Manage a fleet of vehicles across multiple operating locations.
- Monitor vehicle/asset utilization to ensure inventory is active and field vehicle needs are met on time.
- Contribute toward creating, refining, enhancing, and rolling out processes and procedures related to vehicle operational readiness.
- Submit requests for vehicle acquisition, transfer, and disposal.
- Manage the fuel card program for the respective locations: requesting fuel pins, issuing fuel pins, monitoring usage reports for anomalies, and escalating anomalies to the Senior Fleet Management team.
- Track and monitor preventive maintenance services and annual DOT inspections, ensuring all vehicles are compliant with requirements for service.
- Lead in understanding, communicating, and resolving any vehicle issues related to safety, mechanical issues, and preventive maintenance.
- Administer fleet management operations policies including vehicle and equipment procurement, maintenance, repair, and disposal.
- Deploy vehicles for emergency and/or special situations.
- Manage employees and mechanics across multiple locations.
- Serve as liaison between the drivers, Market leadership, and other departments to exchange information and resolve issues.
- Provide training and support to all locations for driver onboarding, vehicle inspection training, telematics use, and reporting tools.
- Establish and evaluate work procedures, preventive maintenance and repair standards, service schedules, quality control programs, and policies consistent with federal, state and local laws.
- Provide training and presentations as needed in a professional manner.
- Ensure DOT Driver Qualification files are prepared and submitted for approval for all CMV and CDL drivers.
- Ensure all vehicle/equipment maintenance files are kept current for preventive maintenance, oil changes, annual inspections, brake maintenance and repair, registrations, and insurance.
- Coordinate GPS unit installs with Senior Fleet & Market management.
- Serve as Market GPS Administrator, monitor vehicle usage/drivers as needed, produce and review exception and summary reports for Market Management use on a weekly basis.
- Update and submit required reports in a timely manner.
- Maintain, create, and audit reports (Power
BI, Excel skillset required: Vlookups, Pivot Tables, Conditional Formatting, etc.). - Additional duties as requested.
- Bachelor's degree or equivalent experience.
- Previous administrative experience handling multiple tasks simultaneously.
- Proficient with Microsoft Office (Excel formulas, formatting, reports).
- 2-5 years of fleet administration experience.
- Management/supervisory skills are a must.
- Ability to handle and maintain confidential information.
- May be required to testify in legal hearings.
- Must have and maintain a valid driver’s license.
- Travel (minimum 50%).
- Independently resolve regulatory issues with regulatory agencies.
- Utilize excellent verbal, written, and interpersonal communication skills.
- Demonstrate analytical and problem‑solving skills with strong attention to detail.
- Proficiently work numerical data and calculations.
- Pass pre‑employment background and drug screening check.
- Deliver results and strive for continuous improvement.
- Be highly motivated and able to work independently.
