WHAT YOU WILL DO

In this role, the Operational Support Specialist will provide comprehensive operational and sales support, helping to streamline processes, maintain accurate data, and ensure effective coordination across teams.

Key responsibilities include:

  • Support day-to-day operations by maintaining workflows, checklists, and process documentation.
  • Provide direct support to the sales team by scheduling customer meetings, demonstrations, and follow-ups.
  • Prepare, review, and manage commercial documents such as proposals, contracts, and presentations.
  • Track and monitor key sales and operational metrics, provide updates, and ensure timely follow-up on action items.
  • Organize and manage business data, including customer, competitor, and market information, to support decision-making.
  • Assist in the rollout, training, and adoption of new systems, tools, and workflows across sales and operations.
  • Coordinate internal meetings, training sessions, and customer-facing activities to ensure smooth execution.
  • Partner with cross-functional teams to identify process bottlenecks, recommend improvements, and enhance efficiency.
  • Contribute to employee engagement and customer appreciation initiatives in collaboration with leadership.
  • Perform other duties as assigned, always with a focus on supporting sales success and operational excellence.
YOUR MUST HAVES
  • Must be 18 years of age or older.
  • High School Diploma or General Education Degree (“GED”).
  • 5+ years of administrative or operations support experience.
  • Proficient in Microsoft Office Suite, CRM systems (Salesforce preferred), and ERP platforms (D365 experience a plus).
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Strong attention to detail and accuracy.
  • Perform with level of professionalism, discretion, and confidentiality.
WHAT WE PREFER YOU HAVE
  • Experience coordinating corporate events and customer visits.
  • Familiarity with contract administration and approval workflows.
  • Experience supporting cross-functional teams in sales, operations, or customer service.

This position is primarily an office environment.

Physical requirements:
