Responsibilities
- Build and maintain effective professional customer relationships and communications.
- Help manage customer service delivery and communications as part of the service department.
- Communicate and liaise with the service team, engineering team, projects team, subcontractors, and equipment suppliers.
- Update relevant customer records in the system database.
- Ensure that the client is fully updated at all times via relevant portals regarding the status of every service job.
- Cost all jobs efficiently to avoid financial issues.
- Complete all admin duties in a timely manner.
- Respond to any client queries relating to job updates.
- Assist with service desk and small works administration as required.
- Process and maintain customer records.
- Ensure compliance, ensuring all certificates/documentation from engineers/subcontractors are completed correctly and are legible.
- Cost all jobs completed by engineers/subcontractors from previous days.
- Ensure the relevant purchase orders are in place while costing dockets and spend levels have not been exceeded.
- Utilise correct SORs for specified customers.
- Upload certificates and updates on web portals or via email.
- Check and ensure all certificates meet acceptable standards.
- Read all job notes to ensure the job is fully completed before costing.
- Update any asset spreadsheet/documentation where required.
- Obtain uplifts for purchase orders to avoid invoice queries.
- Deal with any financial queries to avoid invoice queries.
- Liaise between internal departments to resolve any customer issues.
- Distribute follow‑on calls from engineers' PDAs to relevant teams/schedulers.
- Update the system application with customer information, logging calls to ensure all information is present and correct for others in the department.
- Obtain purchase orders for remedial works carried out.
- Assist the scheduling team to achieve performance targets and ensure SLAs are met to improve and develop customer objectives.
- Maintain excellent attention to detail.
- Ensure any complaints received are dealt with in a professional manner; report all actions to the relevant manager.
- Excellent customer relationship skills with a professional telephone manner.
- Team player capable of working autonomously to support the service team and customer queries.
- Advanced communication and organisational abilities.
- Familiar with Microsoft applications, preferably advanced.
- Commercially astute, used to a contract operating environment with SLAs and KPIs.
- Enthusiastic in a growing, customer‑focused environment.
