An exciting opportunity has arisen for a Clinic Coordinator to join our outstanding Oncology Team on a 12‑month maternity cover basis. We are seeking a highly organised and proactive individual with excellent attention to detail and strong communication skills. You will be committed to delivering a first‑class service to patients in a fast‑paced clinical environment, supporting the smooth running of oncology clinics and ensuring an exceptional patient experience.
Responsibilities- Provide efficient administrative and day‑to‑day support to the department, including booking of outpatient and treatment appointments and coordinating outpatient clinics for a defined team of clinicians.
- Deal with enquiries from patients, relatives, carers, clinicians and other staff groups, directing and prioritising queries via telephone, face‑to‑face, email and written communication.
- Maintain patient records and other office administration duties, preparing case note folders and ensuring all data is correct and up‑to‑date in trust databases and patient information systems.
- Assist in the effective management of patient pathways, ensuring that all necessary appointments and treatments are booked in‑line with Trust and national targets, and ensuring outpatient treatment capacity is accurate and utilised effectively.
- Provide cross‑cover within administration teams during absences and comply with relevant policy on attendance, performance management and staff appraisals.
- Attend meetings as required to ensure effective communication with all service users and liaise with hospital departments, GPs and other health‑care agencies.
- Provide robust audit data for local and national targets where appropriate, and maintain confidentiality in all communications.
- Serve as the focal point of communication for medical professional and allied medical staff both within this Trust and with external organisations and patients, using judgment to facilitate a successful outcome for all enquiries.
- Conscientious and enthusiastic team player with excellent organisational and communication skills.
- Well motivated, reliable, able to demonstrate a clear understanding of confidentiality issues and maintain calm under pressure.
- Demonstrable understanding of outpatient appointment booking, managing referrals and clinic booking, including knowledge of RTT pathways & referrals (advantageous).
- Strong ability to prioritise workload and that of the team amidst constantly changing demands, meet agreed deadlines and use own initiative.
- Good team working skills and a flexible approach to the post.
- Knowledge of current NHS referral to treatment targets would be advantageous.
