The post holder will be a motivated, innovative, and enthusiastic individual who is willing and able to join the Willow Ward at NGH and to help us to maintain our high quality of service.
The post holder will work as an effective member of the team, providing quality administrative support to the wider team.
Responsibilities- Normal routine clerical duties, e.g. filing, charting, making lists, completing forms.
- Answering telephone, taking messages and enquiries regarding patients' condition after consultation with ward nursing staff and adhering to the data protection policy.
- Operate patient administration computer system and ensure the system is up to date at all times with details of all patients currently on the ward.
- Ensure all patient details on the computer are correct, including ethnic origin and religion.
- Record patient discharges and transfer details on the computer as soon as possible after the event.
- Record all patient admission, transfer and discharge details in a timely manner.
- Maintain an adequate supply of stock levels to ensure the smooth running of the ward.
- Complete housekeeping duties from time to time with reorganisation of stock and tidying to keep the ward presentable.
- Be responsible for ensuring that case notes are available, file them as per protocol, maintain them in an orderly manner and return them appropriately after discharge letters are completed.
- Notify next of kin of patients' admissions and (emergency) transfers if required by ward staff.
- Return notes to medical records and update relevant details on ECAMIS and Nerve Centre after discharge summaries and coding are completed.
- Make arrangements for X‑rays, MRI, CT Scan and other relevant procedures when requested.
- Take samples to Pathology and carry out other similar errands.
- Collect and deal with post appropriately; any post for the Ward can be opened and dealt with (if in doubt, ask the nurse in charge). Post marked with a staff member's name goes to the staff mail tray; post for the Ward Manager goes to the unit office on the desk.
- Obtain relevant personal information for nursing documentation and update details on the computer.
- Liaise with ward co‑ordinator regarding all patients expected for admission and discharge.
- Perform any other ad‑hoc duties as required by the ward manager.
- Be actively involved in the induction of new staff.
- Accept personal responsibility for identifying their own learning needs and for maintaining their own professional development and mandatory training.
- Assist in facilitating a learning environment conducive to the acquisition of further knowledge and skills and be actively involved in the development of others.
- Promote and provide health education for patients and their carers/family.
- To promote a professional and positive image of themselves and the Trust.
- Demonstrate a caring and supportive attitude towards their work colleagues.
The postholder may be required to carry out other relevant duties as required.
The postholder will adhere to the duties specified under the Staff Responsibilities of the NHS Constitution in their day‑to‑day work and behaviours.

The postholder will be expected to undertake training, including mandatory and role specific training, relevant to their role and ensure it is renewed as required.
