Receptionist and Office Administrator role at Althaus Law
. Althaus Law is a firm that focuses its practice on estate planning and probate law. We are looking to find the right fit for our team in the form of a Receptionist and Office Administrator who is capable of handling client phone calls, admin tasks, and office upkeep. This position would support our front desk team and Executive Assistant. The position will be in-person and full-time.

- Experience in the legal field
- Experience working as a receptionist
- Experience answering phones
Requirements
- Ability to communicate well with clients and other co-workers
- Team-oriented
- Exceptional customer service skills and ability to deal with individuals in crisis
- Excellent verbal and written communication skills
- Bilingual in English and Spanish
- Strong organizational skills, attention to detail, and ability to manage a quickly growing firm
- Proficient in Microsoft Word
- Experience with Adobe Acrobat (pdf reader)
- Ability to answer multi-line phone system
- A sense of humor
- Love of most animals, but especially dogs
- Manage front desk by triaging incoming calls, scheduling appointments, responding to emails, and greeting new clients
- Make regular follow-up and reminder calls to clients
- Check and respond to voicemails at least twice daily
- Reschedule meetings if necessary to fill attorney calendars or to accommodate sick time
- Provide a warm and welcoming environment for all clients and visitors of the office
- Seat and offer refreshments to incoming clients
- Brew coffee daily for team and clients
- Handle general office duties such as scanning, copying, ordering supplies, and distributing mail
- Manage incoming and outgoing mail: includes making post office runs, checking the firm s mailboxes (on premises), and distributing tenants mail to their respective mailboxes
- Scan and convert all closed paper files to electronic files
- Maintain an inventory for office supplies and restock as necessary
- Order office groceries as necessary
- Grab lunches and catering orders for special occasions
- Complete projects and assignments for the attorneys and paralegals
- Complete conflicts checks for potential new clients
- Manage attorney continuing legal education class requirements and ensure there is time calendared for such requirements
- Witness client signatures on legal documents
- Help establish community connections
- Post flyers around the area for certain upcoming presentations
- Act as the point of contact for venues that host certain presentations
- Be present at tabling events in the community
- Maintain cleanliness and appearance of front desk, lobby, and kitchen area
- Comfortable walking team members dogs if they need breaks while people are in meetings
- Feed, water, and clean the home of our office gecko

The starting salary is $45,000/year. We also provide retirement plans, health insurance, PTO, dental/vision, and other benefits.
