Overview of the positionThe Receptionist performs efficient clerical support in accordance with established policies and procedures. The role interfaces with the public visiting the facility and by telephone, communicates with outside agencies, and ensures the facility is a positive choice for seniors.
Duties and Responsibilities- Promptly answer all incoming calls with professional, courteous telephone etiquette.
- Receive and follow reception schedule/instructions from the supervisor.
- Operate paging/telephone system and direct callers to appropriate individuals or departments.
- Maintain current file/listing of residents by name and room number, on‑call personnel, department extensions, key personnel, and critical residents.
- Greet visitors, direct them to the appropriate office or residents’ room, and offer beverages as appropriate.
- Monitor presence of sales representatives and ensure guests comply with existing rules, refusing admission as directed.
- Assist with administrative duties (typing, filing, accounts, etc.) and operate copier, office machines, and computer as directed.
- Fields accurate and complete phone messages, delivers messages, and distributes and accepts job applications.
- Receives supplies and shipments, alerts the appointment department for pick‑up, and maintains the resident/visitor check‑in/out system, retaining daily lists for six months.
- Receive, sort, and distribute mail; prepare mailing monthly statements for residents, including stuffing envelopes and labeling.
- Audit new residents’ charts for accuracy; audit medication, treatment records, and intake/output records weekly.
- Report suspicious persons/information to the supervisor immediately.
Educational Requirements
Must possess a high school diploma or its equivalent.
Experience
At least two years in a clerical position, or a completed secretarial science program from an accredited school/college.
