Job DescriptionIn this role, you will provide project support to the Property & Economic Development Service across major regeneration and development projects, ensuring all programme administration is maintained to a high standard.
You will organise, monitor and service regular meetings for project teams, project boards and programme boards, as well as manage appropriate filing systems to store and retrieve both manual and computerised records.
A key part of the role is to monitor, chase and assist with highlight and progress reports, financial claims, and reporting for ELT, Boards, Cabinet and other stakeholders. You will act as the initial point of contact for internal and external project delivery teams and stakeholders, supporting effective communication across all partners.
You will manage meeting and travel arrangements as required, and administer and handle team and project correspondence, including written communications and telephone calls.
Post holders are expected to be flexible and undertake any other duties commensurate with the grade and within the general scope of the job, as requested by management. All duties must be carried out in accordance with relevant Norwich City Council policies and procedures, applicable legislation and any professional codes of ethics.

Responsibilities- Coordinate and service project meetings, including preparing agendas, action logs and accurate technical minutes for internal and external stakeholders.
- Maintain organised electronic and manual filing systems for confidential project, financial and contractual documentation.
- Monitor progress reports, financial claims, project spend data, risk registers and issue logs, ensuring timely updates.
- Support financial processes including requisitions, purchase orders, funding claims and payment arrangements for high‑value capital projects.
- Track commitments and expenditure against project cost centres, raising concerns with project managers as needed.
- Produce website updates and communications materials with colleagues in Communications.
- Act as the first point of contact for project teams, stakeholders and partners, ensuring clear and effective information flow.
- Support programme planning using Excel or Microsoft Project and create presentation material in PowerPoint.
- Manage national and local travel arrangements and handle correspondence on behalf of the team.
- Ensure all work aligns with council policies, customer care standards, equality, health and safety and professional ethics.
- Strong interpersonal skills and the ability to contribute positively within a team.
- Excellent written and verbal communication skills, with the ability to produce clear minutes and project documentation for technical and public audiences.
- Confident in budget monitoring, numerical analysis and working with finance and procurement processes.
- Ability to meet tight and frequent deadlines while managing competing priorities.
- Capable of working independently across varied work streams with minimal supervision.
- Proficient in Microsoft Word, Excel, PowerPoint, MS Project, Teams, Zoom and able to learn additional systems.
- Able to attend site meetings and support public consultations and ministerial visits.
- Educated to A‑Level standard or equivalent.
