We are seeking a highly organised and detail-oriented HR and Compliance Administrator to support both the HR and Compliance functions of the business. This varied role will involve coordinating the employee lifecycle from onboarding through to leavers, maintaining accurate HR records, supporting payroll administration, and ensuring compliance with internal procedures and external funding and audit requirements. This position would suit an experienced administrator with excellent attention to detail and strong organisational skills.

Previous HR administration experience would be advantageous but is not essential, as full training can be provided for the right individual. Leeds City Centre (LS1), £28,000 per annum, Monday to Friday, 8:30am - 5:00pm This is a fully office-based position.

Key Responsibilities HR Administration Coordinate the onboarding process for new employees, ensuring all documentation is completed accurately and within required timescales. Process employment references and right to work documentation. Arrange and monitor DBS checks where required. Prepare contracts of employment, contract amendments and change of terms documentation. Administer probation review processes and maintain accurate employee records. Process employee leavers and ensure all relevant documentation is completed.

Collate payroll information including starters, leavers, contractual changes, sickness, holiday and payroll amendments for submission within deadlines. Maintain confidential employee files and HR databases, ensuring compliance with GDPR. Provide day-to-day administrative support to the HR team. Compliance and Administration Validate documentation and records to ensure compliance with internal procedures and external funding requirements. Perform eligibility and compliance checks where required.

Accurately enter and maintain information on internal management information systems. Create and maintain tracking spreadsheets, databases and compliance records. Prepare documentation and records for audits, inspections and quality assurance processes. Carry out regular compliance audits and identify any discrepancies or missing documentation. Register learners or employees on relevant external systems where applicable and ensure all deadlines are met. Maintain procedures, templates and administrative documentation.

Support external audits, inspections and verification visits, ensuring documentation is accurate and readily available. Ensure compliance with organisational policies, procedures and regulatory requirements. Assist with continuous improvement of administrative and compliance processes. Undertake any other administrative duties required to support the wider business. Knowledge, Skills and Experience Essential Minimum of two years' experience within an administrative or compliance-based role. Excellent organisational skills with exceptional attention to detail.

Strong written and verbal communication skills. Ability to prioritise workload and manage multiple tasks simultaneously. Excellent problem-solving skills and the ability to work independently. Strong IT skills including Microsoft Office 365, particularly Excel, Word and Outlook. Experience maintaining confidential records with a high level of accuracy. GCSE Grade 4/C or above (or equivalent) in English and Maths. Desirable Previous HR administration experience including onboarding, contracts and payroll administration.

Experience arranging DBS checks and maintaining personnel records. Experience working within a regulated or compliance-driven environment. Knowledge of audit processes and quality assurance requirements. Experience using HR or management information systems. Advanced Microsoft Excel skills. Personal Attributes Highly organised and methodical. Professional with excellent attention to detail. Able to maintain confidentiality at all times. Positive, proactive and willing to support colleagues.
