About the role

A well-established and highly regarded architecture practice is looking for a proactive, detail-oriented Practice Operations Coordinator to become a central part of its studio team. This pivotal position supports directors, project teams, and the Practice Co-ordinator, ensuring the day-to-day operations of the studio run smoothly and efficiently.

Key tasks include:
  • Acting as the main point of contact for the practice, managing telephone calls, responding to enquiries, and welcoming clients and visitors.
  • Ensuring reception and meeting spaces are consistently well presented, organised, and ready for use.
  • Handling incoming and outgoing post, managing the shared inbox, and overseeing general office administration including filing, scanning, printing, and document control.
  • Providing administrative support across project teams, including undertaking regular audits within the document management system.
  • Processing expenses, managing team purchases and training bookings, and supporting directors with ad hoc administrative tasks.
  • Delivering PA support to directors, including diary management, travel coordination, and preparing materials for meetings and presentations.
  • Ordering office supplies and coordinating routine office maintenance.
  • Assisting with basic IT support and liaising with external IT service providers.
  • Updating website content and supporting social media activity across Linked In and Twitter.
  • Assisting with the preparation and formatting of presentations, brochures, and other studio documentation.
  • Supporting the planning and delivery of both client-facing events and internal social activities.
  • Maintaining project archives and records accurately and confidentially.
About you:
  • 3–4 years’ experience within a design-led studio environment (architecture or design preferred), including at least two years supporting senior executives.
  • Exceptional organisational skills with strong attention to detail.
  • A full driving licence, for occasional use of pool vehicles.
  • Confident, professional, and personable communication skills, both written and verbal.
  • A collaborative approach with the ability to support colleagues at all levels of the practice.
  • Professional, flexible, and adaptable, with the ability to work effectively across different personalities and working styles.
  • Proficiency in Microsoft Office and Outlook.
  • Strong problem-solving skills with sound judgement.
  • A high level of discretion and professionalism when handling confidential information.
  • Experience using Adobe InDesign, Canva, or similar design software.
  • Familiarity with website content management systems such as Word Press.
  • Confidence interpreting basic project or financial information.
  • Experience working with document management platforms, such as Blueroom.
  • Experience planning and coordinating events for groups of 30+.
