The Transport Administrator is responsible for coordinating and managing day-to-day transport activities with external transport providers. The role ensures that deliveries and collections are planned efficiently, service levels are met, and all transport documentation and compliance requirements are maintained accurately.

Roles and Responsibilities
  • Act as a point of contact between the QTS and external transport companies
  • Book and schedule deliveries and collections with third-party hauliers
  • Monitor transport performance, delivery times, and service level agreements (SLAs)
  • Liaise with external drivers and transport planners to resolve delivery issues or delays
  • Ensure all transport documentation is completed, received, and filed correctly (PODs, consignment notes, invoices and photographs)
  • Liaise with the dispatch team to ensure correct documentation is sent
  • Produce Pick notes and delivery notes for the dispatch team
  • Organise and produce delivery notes for parcel shipments
  • Track and report on delivery performance, costs, and discrepancies
  • Check transport invoices in line with agreed rates and contracts
  • Maintain accurate records within Mie Trak (which is our ERP system)
  • Support compliance with transport legislation and company policies
  • Escalate service failures or compliance concerns to the Transport Manager
Person Profile
  • Previous experience in transport, logistics, or administration (external hauliers preferred)
  • Strong communication and relationship-management skills
  • Excellent organisational skills and attention to detail
  • Ability to manage multiple transport providers and priorities
  • Confident using Microsoft Office, particularly Excel
  • Experience using ERP or logistics systems is desirable but full training will be given on our ERP system (Mie Trak)
  • Understanding of transport regulations and commercial transport operations is an advantage
  • Proactive and solution-focused
  • Professional and confident when dealing with external partners
  • Calm under pressure with strong problem-solving skills
  • Reliable, organised, and methodical
Hours of Work

08:30-17:00 Monday-Thursday with 1-hour lunch, 08:00-16:00 on a Friday with ½ hour lunch. The hours of work are subject to change to suit the needs of the business.

Holiday Entitlement

Holidays You will be entitled to 23 holidays per year in addition to any statutory bank holidays. Three days will be expected to be saved for closure over the Christmas period. Holidays are accrued throughout the current year.
