Rental Fleet Dispatcher

Position Summary

This position will coordinate scheduling and delivery for heavy equipment rentals. The person in this role will have a strong customer service focus and the ability to multi‑task in order to meet our customers’ needs.

Responsibilities
  • Responsible for scheduling machine deliveries, pick‑ups and inter‑company transfers. Responsible for ensuring all appropriate paperwork is accurate and complete.
  • Communicate with drivers to ensure highest customer satisfaction with regards to on‑time deliveries, drop and pick‑up points, equipment needs, etc. Responsible for ensuring that pick‑up guidelines are adhered to.
  • Responsible for coordinating with customers on machine security if pick‑ups are not going to be met in a timely manner.
  • Ensures load maximization and route efficiency.
  • Manage drivers’ daily start and finish times to ensure maximum efficiency and that customer expectations are met.
  • Maintain all DOT standards and requirements, as well as file and request state hauling permits as necessary for the location of the delivery.
Position Requirements
  • High School Degree.
  • At least 3 years of experience in load planning/dispatching.
  • Ability to travel to different branch locations occasionally.
Knowledge, Skills, and Abilities
  • Ability to operate a computer and necessary programs such as Microsoft Office products and database systems.
  • Excellent communication skills, including verbal, written, and listening.
  • Ability to apply knowledge of DOT regulations to the workplace to ensure compliance.
  • Ability to apply understanding of fleet capacity and business volume to ensure timely and cost‑effective deliveries and pick‑ups.
  • Ability to work between departments (shop, parts, counter, etc.).
  • Ability to think on your feet to solve problems quickly.
  • Familiarity with surrounding areas would be helpful as well as the ability to read and understand maps of the city and surrounding areas.
  • Ability to constructively manage change and conflict.
Other Requirements
  • Works under general supervision. Employee acts independently to handle standard problems but usually reports on such problems. More unusual problems are referred to a supervisor/manager.
  • Major responsibilities typically require creativity and latitude. Employee typically operates with specific objectives but often few written or unwritten procedures as guidelines. Some policies or precedents for action exist.
  • If an error is made while in this position, it will be easy to find and can be fixed with some effort or expense and moderate effect on the company.
  • Frequently communicates with coworkers, customers, and management. Regularly communicates with company executives.
