OverviewThe Administrative Assistant II position in the Hackensack Meridian School of Medicine provides high‑level support to the Department Leader(s) with a wide range of administrative and general office support.
Responsibilities- Provide primary administrative support to the Department Leader/Chair/Dean, including telephone and guest reception, printing, faxing, copying, filing, bulk mailing, and organizing emails and directories.
- Plan and schedule meetings, prepare agendas, handouts, take notes and minutes.
- Provide calendar management support and compose correspondence.
- Assure compliance with HMH policies concerning travel, purchasing, accounts payable, expense reimbursement.
- Organize and prepare travel arrangements, reports/forms, purchase orders, travel authorizations.
- Track and manage budgets and purchasing/accounts payable.
- Prepare training materials, coordinate internal/external trainers and attendees.
- Assist with planning key department projects and priorities.
- Investigate and input relevant information into constituent management software.
- Perform other duties and/or projects as assigned.
- Bachelor’s degree or equivalent with minimum 5 years of experience as an Administrative Assistant or Coordinator in a medical or higher education facility.
- Significant executive‑level support experience in a university/college setting.
- Excellent organizational, time management, and client service skills.
- Ability to coordinate and work collaboratively with diverse groups to achieve complex objectives.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office and Google Suite.
- Maintaining highest standards of confidentiality where applicable.
- Preferred:
Master’s degree, 5 years relevant experience in a dynamic environment, Google Suite experience, knowledge of medical school operations.
Starting at $29.1 hourly. The posted rate is a reasonable estimate and does not reflect the full value of the total rewards package.
