Summary/Objective

Reporting to and in support of the Director, Scientific Meetings & Programming, the Meeting Planner will assist in planning and execution of efforts at all Convention Center based events, including but not limited to registration, exhibit hall, headquarters hotel, offsite venues and building exterior. Data management is required to successfully communicate Convention Center specifications inclusive of housing, registration, special events, security staffing, temporary event staffing, electrical, internet, audiovisual, and onsite medical staffing.

The ideal candidate who leads this work must demonstrate the ability to multitask, be a resourceful problem‑solver, self‑starter, cool under pressure, and be responsive to customer needs. In addition to the annual meeting (Summit), the Meeting Planner will be involved in the logistical planning of two conferences; one held in June and one held in September.

Essential Functions

  • Coordinate logistics for conferences to include room setup; audiovisual services; catering; security/temporary staff and transportation.
  • Complete data entry and ensure accuracy of all meeting logistics platforms, including the Summit mobile app.
  • Assist attendees with hotel arrangements for Summit and conferences.
  • Track meeting registration for Summit and conferences.
  • Assist attendees and speakers with registration discount codes and provide registration receipts.
  • Process certificate of attendance requests and update conference websites.
  • Review and process invoices/billing post‑event and assist speakers with reimbursement requests.
  • Skills/Abilities
  • Organized and detail oriented.
  • Familiarity with database systems and are willing to learn new technology (mobile apps, social media, and other vehicles).
  • Willingness to travel out of town and overnight (1 trip of 7 nights to the Summit, 2 trips of 4 nights each in June and September).
  • Excellent verbal and written communication skills, especially when dealing with conference and Summit attendees.
  • Ability to lift, carry (up to 40 pounds), stoop, bend, climb, crawl, push, pull or perform other physical activities or walk and/or stand for long periods of time.

    Supervisory Responsibility

    This position does not have supervisory responsibilities.

    Benefits

    This is a temporary, part‑time, hourly, non‑exempt position anticipated to run from January 2026 through September 2026, with an expected workload of 20–30 hours per week. No benefits are associated with this temporary role.

    Candidates may be based anywhere in the United States but must be willing and able to travel to APS events requiring on‑site support, including:

    • Summit 2026 – Minneapolis, MN (April 21–26)
    • Kidney Camp – Wisconsin (June 22–25)
    • Comparative – Orlando, FL (September 16–20)

    Outside of required travel listed above for APS events, the position may be performed remotely from any U.S. location, provided the employee maintains East Coast working hours, generally aligned with core hours of 9:00 a.m. to 3:00 p.m. ET.

    Education and Experience
  • Must have the CMP or CEM designation.
  • Minimum 3 years of event planning experience.
  • Experience managing a conference budget.
