Senior Administrative Assistant Human Resources (Part-Time)The Village of Oak Brook is seeking a detail‑oriented and customer‑focused Part‑Time Administrative Assistant to support the Human Resources Division. Under the supervision of the Assistant Village Manager, this position assists with benefit administration, onboarding/offboarding, HR data maintenance, compliance documentation, and employee support.
This role requires strong communication skills, confidentiality, and the ability to manage multiple tasks in a fast‑paced municipal environment.
SchedulePart‑time:
An average of 19 hours per week. Flexible scheduling may be available during regular business hours (Monday–Friday).
- Assist with employee benefit administration and open enrollment.
- Maintain HR records, personnel files, and compliance documentation.
- Support recruitment processes, onboarding, and exit procedures.
- Enter and maintain HR data in MUNIS (payroll, attendance, personnel records).
- Prepare or assist with reports (OSHA, unemployment, EEO-4, HR activity summaries).
- Respond to employee inquiries and provide high‑quality customer service.
- Assist with policy updates, job descriptions, and HR communications.
- Coordinate background checks and pre‑employment processes.
- Support employee relations, training coordination, and special HR projects.
- High school diploma or GED required.
- Two years of administrative, HR, or clerical experience (municipal/public sector preferred).
- Strong written and verbal communication skills and a high level of confidentiality.
- Proficiency with Microsoft Office; experience with MUNIS preferred.
- Ability to organize, prioritize, and maintain accuracy with detailed information.
Preferred:
Coursework or certification in HR, Business Administration, or a related field.
This is a part‑time, non‑exempt position with a full pay range of $29.04 - $39.27 per hour. The anticipated hourly rate is $34.15 commensurate with experience and qualifications.
As a part‑time position, the Senior Administrative Assistant is not benefit eligible; the position does participate in the Illinois Municipal Retirement Fund (IMRF) pension system. Work schedule is not to exceed 29 hours per week. There is no remote work availability.
