JOB SUMMARY
Under general supervision, provides administrative assistance to Municipal Court and Jail Operations.
ESSENTIAL JOB FUNCTIONS- Ability to accurately inform citizens of the various options available, as well as policies and procedures in effect for disposition of citations and to advise prisoners, attorneys, bondsmen, other outside agencies and the public on prisoner status and release; ability to deal tactfully with a wide variety of people including police officers, attorneys, judges, other city employees and citizens.
- Ability to verify amounts due and to apply appropriate fines, fees and court costs for the various options; enter payments or jail credit for citations or bonds in the court system to produce receipts for monies received and to enter bond forfeitures or refunds in the court system to apply payments or produce refunds.
- Ability to prepare necessary forms, obtain proper documentation and signatures, perform file maintenance for each action taken, and distribute case files based on action taken.
- Ability to balance daily cash report and prepare daily, weekly or monthly reports of activity.
- Ability to verify warrants on citizens detained or arrested by police personnel; ability to interact with various outside agencies in releasing information; and ability to assist Judge at jail arraignments.
- Ability to notify defendant of information or documentation needed to complete case processing and research case disposition to resolve problems or answer questions
- Ability to work independently with little instruction utilizing knowledge of jail operations and court procedures, applying learned principles to differing situations; ability to process case by mail; set cases on the trial or hearing docket and provide information about docket policies or procedures.
- Ability to cross-train and perform administrative functions of a Jailer as required.
Knowledge, Skills and Abilities Required:
- Knowledge of legal terminology and state/local laws governing the processing of citations, bonds and related court documents.
- Skill in alphanumeric filing and maintenance of filing systems.
- Skill in processing and verifying routine documents based on detailed written instructions.
- Skill in communicating with the public and other City employees by oral and written means.
- Skill in counting money and making correct change.
- Ability to operate a variety of office equipment including, but not limited to PC, fax machine, telephone, typewriter, calculator and copier.
- Ability to perform a variety of physical skills including but not limited to standing for long periods of time, seeing, reaching, stooping, sorting, calculating and writing.
- Ability to receive detailed information through oral communication and make fine discriminations in sound.
Education and Experience
High School Diploma or GED, plus one year of college. Two years of experience in customer service, cashiering, or general office work, or any equivalent combination of education and/or experience may be substituted for the above. Pre-employment testing includes credit evaluation and thorough background check.
