Description

Veterinary Specialty Client Service & Referrals Representative

Do you thrive in a fast-paced environment, love helping people, and have a talent for keeping things organized when there are a lot of moving pieces?

Animal Emergency & Referral Center of Minnesota (AERC) is looking for an experienced Specialty Client Service Representative to support our specialty teams and the clients and patients they serve. This is a unique hybrid role that combines client service, specialty floor coordination, referrals support, and occasional ER front desk coverage.

You’ll serve as an important connection between our clients, specialty departments, referring veterinary community, and hospital team—helping ensure each visit runs as smoothly as possible from arrival through discharge.

What You’ll Do

In this role, you will:

  • Serve as the primary Client Service Representative on our specialty floors during scheduled shifts.
  • Welcome clients and coordinate patient intake and arrival with specialty teams.
  • Help keep appointments, consultations, rechecks, and discharges moving smoothly.
  • Schedule specialty consultations and recheck appointments.
  • Collect and refund deposits as directed by specialty services.
  • Receive and process medical records, radiographs, lab work, and other information from referring veterinary practices.
  • Support our Referrals Office by helping manage incoming referrals, verifying documentation, and coordinating appointments across departments.
  • Provide backup support to our ER Client Service team when specialty and referrals coverage allows.
  • Maintain clean, organized, and welcoming client-facing spaces.
  • Communicate with clients compassionately and professionally—even when emotions are high or situations are stressful.

This is not an animal-handling position
, but you will work within an active veterinary hospital environment.

Qualifications

Who We’re Looking For

You may be a great fit if you are someone who is calm under pressure, exceptionally organized, proactive, and comfortable taking ownership of what needs to happen next.

You’ll need:

  • At least 3 years of client service experience
    .
  • A high school diploma or GED.
  • Excellent verbal communication and active listening skills.
  • Strong organizational, multitasking, and time-management abilities.
  • Confidence working independently while collaborating closely with a larger hospital team.
  • Strong computer skills, including comfort learning or working within electronic medical record systems.
  • The ability to communicate with empathy and professionalism when clients are experiencing stressful or emotional situations.

Experience in veterinary medicine, human healthcare, or an emergency/specialty hospital environment is preferred.

Schedule

This is a full-time, non-exempt position that typically works Monday through Friday during our AM shift, generally within the hours of 7:00 a.m. to 6:00 p.m. Most shifts will be based at our Oakdale Red and Blue locations, with the position supporting both our Oakdale and St. Paul hospitals as needed.

Why AERC?

At AERC, client service is an essential part of patient care. Our Client Service Representatives work alongside veterinarians, veterinary professionals, and specialty teams to help clients navigate what can sometimes be complicated or emotional veterinary experiences.

If you enjoy building relationships, solving problems, anticipating what others need, and being part of a team that provides advanced veterinary care, we’d love to meet you.

Join AERC and help us create an exceptional experience for every client and patient who walks through our doors.
