The IRC in Northern California was established in 1975 in response to the needs of the growing refugee population. Over the past 40 years the IRC has resettled nearly 60,000 clients in Northern California. Originally focused on reception and placement, the IRC provides a range of services including economic empowerment, immigration, community gardening, and case management for victims of trafficking.
** Job Summary
** Accurate data, analysis, and reporting are central to the successful operation of any non-profit organization. The IRC in Oakland utilizes multiple data systems and works with numerous funders, each with distinct reporting requirements. The Data Specialist is a full-time position responsible for supporting data entry, quality assurance, and reporting across programs. This role requires a strong understanding of funder-specific databases, reporting timelines, and data compliance standards.
The Specialist will support programs including the Prevention and Early Intervention (PEI) program through Alameda County Behavioral Health Care Services, the Preferred Communities program through the Office of Refugee Resettlement, and others as assigned. The position will conduct ongoing analysis of client information, identify gaps, produce outcome reports, and ensure all program- and funder-required reporting is accurate, timely, and compliant.
** Data Entry*
* • Record and correct case notes and data points across IRC and funder-required databases such as ETO, county systems, and ORR/state portals.
• Collaborate with program staff to ensure timely entry of all services and client information (demographics, intakes, financial vouchers, follow-ups, referrals, job placement/training, screenings, etc.).
• Support clearing data entry backlog across programs as needed.
** Data Quality and Analysis*
* • Ensure data integrity across multiple programs and databases, including maintaining unduplicated client records and running routine audits to identify missing, inconsistent, or inaccurate data.
• Lead and support the creation, submission, and tracking of program reports for funders and key stakeholders, ensuring all reporting meets funder-specific definitions, evidence requirements, and submission deadlines.
• Maintain strong working knowledge of multiple funder reporting platforms, including county behavioral health databases, ORR reporting tools, ETO, and other systems as required.
• Provide data visualization (graphs, dashboards, Power BI tables) to clearly communicate outcomes, progress, and trends.
• Support internal and external audits, program monitoring, and funder site visits.
• Design and improve data tracking tools, templates, and shared systems to improve efficiency and accuracy across teams.
• Support client feedback processes, including survey distribution, data compilation, and analysis.
** Program Support*
* • Train staff, interns, and volunteers on data systems, reporting requirements, and data quality standards.
• Communicate updates about changes to data systems, reporting expectations, and funder requirements.
