Accounts Payable Specialist

Description

Robert Half is seeking an experienced Accounts Payable Specialist to support a busy commercial construction company in Oceanside! This role is ideal for someone who understands that construction AP involves more than processing invoices. You'll work closely with project managers, subcontractors, purchasing, and accounting to ensure costs are coded correctly, documentation is complete, and payments are issued on schedule.

Key Responsibilities:

+ Process high-volume subcontractor, supplier, and general vendor invoices.

+ Code invoices by project, job number, cost code, and general ledger account.

+ Match invoices to purchase orders, contracts, and receiving documentation.

+ Confirm required approvals before releasing invoices for payment.

+ Review subcontractor billing and supporting documentation for accuracy.

+ Track lien waivers, W-9 forms, insurance certificates, and other vendor requirements.

+ Reconcile vendor statements and research duplicate or missing invoices.

+ Communicate with project managers to resolve coding questions and approval delays.

+ Prepare weekly check runs, ACH payments, and payment schedules.

+ Maintain accurate records of project-related expenses and outstanding liabilities.

+ Assist with AP aging reports, month-end accruals, and job-cost reporting.

+ Organize supporting documents for audits and project cost reviews.

Requirements

+ 2-4 years of Accounts Payable experience; construction AP preferred.

+ Understanding of job costing, cost codes, and purchase order matching.

+

Experience with lien waivers or subcontractor compliance documentation is a plus.

+ Proficiency with Excel and accounting software or construction ERP systems.

+ Strong follow-up skills and the ability to manage multiple project deadlines.

+ Clear communication skills when working with vendors and internal teams.
