Supplier Planner (Supply Chain & Procurement Operations)

Hydro Jug/ACTA is expanding rapidly across multiple product categories and global suppliers. We’re hiring a Supplier Planner to ensure products arrive on time, in full, and with complete visibility for all internal teams.

This role owns supplier communication, PO tracking, capacity alignment, and inbound timeline management. The ideal candidate is disciplined, highly organized, and exceptional at communicating delays, risks, and arrival schedules to every stakeholder who depends on accurate information.

About the Role

The Supplier Planner is responsible for managing open purchase orders, monitoring supplier production timelines, understanding lead times and capacity constraints, and ensuring the business knows exactly when inventory will arrive.

This role is a communication hub—connecting suppliers with Operations, Marketing, Sales, and Demand Planning to keep launch dates, inventory planning, and customer commitments on track.

Your success directly influences product availability, launch execution, revenue stability, and operational efficiency.

Key Responsibilities
  • Own day-to-day communication with suppliers regarding PO updates, production progress, and ship dates.
  • Track all supplier timelines against committed lead times; elevate delays immediately.
  • Maintain real-time visibility into supplier capacity, holiday schedules, and production constraints.
  • Ensure all stakeholders know exactly when products are leaving the factory and arriving at the warehouse.
  • Update internal systems with accurate factory ship dates, quantities, and ETAs.
Inbound Visibility & Risk Management
  • Monitor all inbound POs and shipping milestones from production start to warehouse delivery.
  • Flag any changes in lead time, capacity, or shipment timing to Operations, Demand Planning, Sales, and Marketing.
  • Identify risks to launches, inventory availability, or sales orders early and propose corrective actions.
  • Run daily and weekly inbound reports that clearly show what is on time, delayed, or at risk.
Cross-Functional Communication
  • Serve as the central point of truth for inbound ETAs.
  • Provide Marketing with accurate timelines for campaigns and launches.
  • Provide Sales with updated delivery timing to manage customer expectations.
  • Provide Demand Planning with current inbound timing for replenishment and forecast accuracy.
  • Communicate clearly, proactively, and consistently—no surprises.
Purchase Order Execution
  • Issue POs, confirm acknowledgments, and ensure suppliers commit to clear timelines.
  • Maintain accurate supplier data—lead times, MOQs, terms, and pricing.
  • Keep all open PO reports updated daily and visible to the broader operations team.
What Success Looks Like
  • Products arrive on time and aligned to lead-time expectations.
  • Stakeholders always know the real inbound dates—no ambiguity.
  • Supplier delays are escalated immediately with clear communication to all teams.
  • Launch dates, inventory plans, and sales commitments are supported by accurate inbound data.
  • Supplier relationships are well-managed and predictable.
Key Performance Indicators (KPIs)
  • On-Time Delivery (OTD): >95% supplier shipment performance
  • Inbound ETA Accuracy:
    High accuracy between communicated ETA and actual arrival
  • Delay Communication Responsiveness:
    All delays communicated within 24 hours
  • Supplier Lead Time Reliability:
    Consistency of actual vs. committed lead times
  • Stockout Prevention:
    Timely escalations to reduce risk of inventory gaps
Qualifications
  • 3–5+ years in supplier planning, procurement, supply chain operations, or production planning.
  • Strong understanding of supplier lead times, production cycles, and capacity constraints.
  • Excellent communication skills—clear, proactive, and dependable.
  • High attention to detail and discipline in tracking dates, ETAs, and PO updates.
  • Strong Excel and ERP skills (Net Suite or similar preferred).
  • Ability to manage multiple suppliers and dozens of open POs at once.
  • Comfortable in a fast-paced, high-growth environment.
