Accounting Clerk
Marias Technology | Covington, OH (in-office) | Full-time, non-exempt | $17–$22/hr DOE
Four local businesses. One set of books kept right.
As our Accounting Clerk, you'll handle accounts payable, customer billing, accounts receivable, and month-end support for Marias Technology and our sister companies — Glacier View Coffee, Pacific Coast Surf Styles, and Elias & Oliver Boutique. You'll work directly with the President and CEO and our outside accountants, so the work you do every day is visible and it matters.
We're a family-owned business with a small, close-knit office. You'll know everyone by name, and they'll know they can count on you. Your invoices and reports get a second set of eyes before they go out — not because we doubt anyone, but because that's how accurate books work. If you like getting the details right and seeing that the numbers tie out, you'll fit right in.
A clear picture of the job
About 90% of your time is accounting: paying vendors, billing customers, keeping A/R current, and getting month-end ready for the accountants. The rest is keeping our office running smoothly — supplies, common areas, and flagging facility issues.
And once in a while, we all pitch in. On rare occasions, we may ask you to help cover the register at one of our stores. It doesn't happen often, but we're looking for someone who'd be glad to help when it does.
What you'll do
- Prepare the daily cash report for Marias and our sister companies, showing upcoming expenses so the President and CEO can approve payments
- Review and enter vendor invoices into Sage, process approved payments, and track recurring vendors as paid or unpaid
- Manage electronic and automatic vendor payments, and verify that auto-drafts match invoice amounts and due dates
- Review monthly insurance carrier invoices against the prior month for accuracy before payment
- Prepare monthly customer invoices by reconciling Click Time reports to the end-of-month billing report, then send finalized invoices to customers after approval
- Run monthly Sage reports, including A/R aging and sales reports, and reconcile A/R aging to the payment log
- Record customer payments received by ACH and paper check
- Support month-end close by completing data entry and organizing bank statements and documentation for our outside accountants
- Prepare and file sales tax returns for the stores, make scheduled estimated tax payments, and enter the approved annual budget into Sage
- Prepare the monthly software license usage report, coordinating with IT
- Keep office supplies stocked and common areas well maintained
What you need
Required
- High school diploma or equivalent
- 2+ years of accounting or bookkeeping experience (AP/AR, reconciliations)
- Proficiency in Excel
- Experience with Sage or similar accounting software
- Ability to work full-time, in-office in Covington, OH
Preferred
- Associate's or bachelor's degree in accounting, business, or a related field, or an equivalent combination of education and experience
- Experience with Click Time or similar time-tracking systems
- Office coordination or facilities management experience
Who thrives here
- You catch what doesn't match. The invoice that's a few dollars off, the auto-draft that hit early, the aging report that doesn't tie to the log
- You can keep a confidence. You'll see sensitive financial information, and it stays where it belongs
- You're organized. Daily, monthly, and annual deadlines all land on your desk, and none of them slip
- You welcome a second set of eyes. Review and sign-off are part of the process, and you see them as teamwork, not criticism
- You pitch in. No task is beneath you when the team needs a hand
- You have integrity. You do the right thing when it's difficult, and you own your mistakes
