Overview

Associate (ESS and admin services) – work in a team environment delivering secretarial needs for the GDS PH office senior management team.

Essential Functions of the Job
  • Diary Management – Provide support for maintaining key project meetings and meeting locations.
  • Calendar Management – Maintain project team calendars to showcase all key events that need to be planned.
  • Meetings Management – Work closely with project teams and stakeholders to schedule/organize meetings or conference calls.
  • Travel Management – Support the project team in booking travel tickets.
  • Workshop or Area Visit Plan – Assist in planning agendas, handling logistics (stay, food, printing, etc.) for workshops/area visits.
  • Documentation – Record meeting minutes with emphasis on key action points. Maintain project database and eRoom to ensure all documentation is captured and organized.
  • Training Management – Support training setup by sending invites, managing cut‑off points, issuing confirmations, offering alternative dates, and preparing pre‑work sessions.
  • Tool Support and Administration – Provide administrative support on various internal/external tools used across the EY office.
  • Data Processing and Administration – Capture, process, and administer business information.
  • Transcription – Produce business transcription of recorded meetings, events, conferences, etc.

Qualifications
  • Candidate must possess at least a 2‑year vocational or Bachelor’s/College degree in any field.
  • Minimum of two years experience specializing in Executive Assistance, Secretary, or Administrative Assistant (preferred but not required).
  • Customer Service experience working with multiple stakeholders or equivalent.
  • Proficient in MS Office Applications.
  • Above average English communication skills, both written and spoken.
  • Ability to handle multiple executives, priorities and deadlines.
  • Open to work in a hybrid setup with a minimum of 2 days on site.
  • Ability to work in a fast‑paced environment.
  • Good interpersonal skills, problem‑solving and critical‑thinking skills.
