OverviewThe Specialist, Human Resources & Talent Acquisition supports HR strategies to meet business objectives and provides high-level support to employees regarding benefits, new hire administration, onboarding, and policy and procedure support. The role also manages recruitment mandates from posting through candidate signing and follows through on ATS and HRIS data.
Responsibilities- Support HR operational functions around benefits, new hire administration, onboarding, and policy and procedure compliance.
- Manage the full cycle recruiting process from job posting to offer, ensuring a smooth and positive candidate experience.
- Conduct screening interviews, validate skills and cultural fit, and prepare shortlists for hiring managers.
- Partner with managers to draft and revise job descriptions, ensuring alignment between responsibilities and requirements.
- Maintain and administer the Applicant Tracking System (ATS) and recruitment accounts, ensuring candidate movement and data accuracy.
- Manage the pre-employment process, including background checks, reference verification, and preparation of offer letters/contracts.
- Ensure an impressive candidate experience through clear communication, timely feedback, and structured interviews.
- Support employer branding initiatives and contribute to sourcing strategies using appropriate platforms and networks.
- Act as the primary point of contact for candidates throughout the recruitment process.
- Participate in talent acquisition projects and initiatives to improve recruitment processes and strategies.
- Provide administrative and coordination support throughout the employee lifecycle (onboarding, training logistics, contract changes, relocations, offboarding).
- Maintain accurate and up-to-date data in the Human Resources Information System (HRIS) and support employees/managers with first-level inquiries.
- Act as a resource for staff inquiries on HR processes, escalating more complex matters when required.
- Assist in coordinating the performance management process by preparing documentation, tracking timelines, and supporting managers.
- Support employee programs such as wellness, engagement, and recognition initiatives.
- Track and support documentation for disability leaves and health & safety cases, ensuring compliance and accurate follow-up.
- Contribute to annual HR activities (e.g., salary review and bonus processes) by gathering data and preparing reports.
- Collaborate closely with HR Business Partners to ensure a smooth onboarding and integration for new hires.
- Provide support in change management initiatives related to the introduction of new HR tools and processes.
- Participate in HR projects and initiatives as assigned.
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1–3 years of HR experience, with exposure to both recruitment and HR operations; full‑cycle recruitment experience preferred.
- Strong knowledge of recruitment practices and HR processes in a global or multi‑site environment.
- Proficiency with ATS and HRIS systems; experience as a system super‑user/administrator is an advantage.
- Excellent interpersonal and communication skills, with the ability to interact effectively with employees and candidates at all levels.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
- Fluency in English required;
French is an asset. Additional languages are a plus. - Flexibility to adapt working hours to support stakeholders across multiple time zones.
