- Manage VP’s global calendar, prioritizing and safeguarding focus time
- Coordinate high-level meetings, offsites, Board sessions, and leadership forums
- Prepare agendas, briefings, and follow-ups; ensure timely information flow
- Oversee inbox, approvals, and correspondence with discretion
- Handle confidential information with integrity.
- Act as primary liaison between VP and internal/external stakeholders
- Ensure seamless communication, prioritization, and follow-through
- Manage onboarding and partner logistics.
- Plan complex international travel, visas, and event logistics
- Coordinate VP presence at major events
- Process expenses, POs, and invoices accurately
- Maintain departmental documents and workflows.
- Represent VP office with professionalism and cultural awareness
- Proven experience supporting senior executives in global, fast-paced environments
- Expertise in calendar management, stakeholder coordination, and workflow ownership
- Fluent in English & German; excellent communication skills
- Advanced MS Office, Google Workspace, and collaboration tools proficiency
- Skilled in travel, logistics, vendor management, and budget administration
- Highly organized, discreet, proactive, and adaptable
- Strong relationship builder with high EQ; solutions-oriented and resilient
