Job Description:

This position provides the critical connecting role between Academic Affairs and Faculty Affairs, working with Department Chairs to manage faculty‑related software platforms (TAMS and People Soft) and accurately document faculty workload. It supports budgeting, workload management, and the learning management system through faculty assignment and course development. Responsibilities include complex administrative duties for the Chair, directing and coordinating daily office operations, acting as liaison with internal and external agencies, compiling data, statistics, and other information, and planning events and special projects.

Duties:
  • Provides administrative assistance to the Chair, including travel arrangements, reimbursement documents, calendar maintenance, meeting coordination, supplies ordering and tracking, and problem resolution.
  • Assists the Chair with various committees and associated responsibilities.
  • Manages daily office or program operations.
  • Assists with hiring and termination of office staff.
  • Delegates tasks and serves as the lead employee.
  • Acts as liaison between the Department and other campus departments, faculty, staff, and external entities.
  • Prepares monthly reports for balanced accounts, verification reports, and management reports and distributes to appropriate personnel.
  • Assists with other reports for the Chair as needed.
  • Compiles data, statistics, and other information.
  • Coordinates and carries out projects requiring initiative, independent action, and specialized knowledge.
  • Handles event planning, in‑house publications, and public relations functions.
  • Provides information or counseling to students, employees, or the public and responds to surveys and questionnaires.
  • Analyzes problems and conducts special assignments to solve them.
  • Performs various duties as needed to fulfill the position’s functions.
Job Requirements:

Required

Education:

Bachelor’s degree in Business, Psychology, Education, or related field.

Equivalency/Substitution:

Experience or a combination of education & related experience can be considered in lieu of a degree. A one‑to‑one ratio is used to determine required years of experience.

  • Proficiency with Microsoft Office Suite, internet browsers, and Adobe Acrobat Pro.
  • Document preparation and proofreading ability.
  • Excellent interpersonal skills.
