Office Manager
Better Health Group is a primary care provider dedicated to serving patients 65+. We’re looking for an Office Manager to support our growing team and provide a tradition of high quality patient care.
OverviewThe Office Manager is an operational and clinical role responsible for providing 5‑Star Service in assisting physicians with managing daily office operations and treatment of geriatric patients following established standards and practices. The incumbent will report to the Regional Manager and will manage a care team of medical assistants and/or receptionists (generally 3‑7 members).
Responsibilities- Oversee, monitor, and improve clinic performance and key performance indicators (KPIs) such as HEDIS, admission management, ER utilization, and patient flow.
- Manage clinic staff, including payroll, PTO, hours, and performance.
- Communicate with providers to ensure quality of patient care.
- Assist with scheduling, administrative, and clinical duties for providers.
- Lead daily clinic huddles and assign proactive outreach call efforts.
- Ensure efficient front‑office and back‑office operations.
- Provide extraordinary customer service to all internal and external customers.
- Onboard new team members and deliver training per Better Health Group policies.
- Maintain accuracy of all incoming and outgoing information — supplies, invoices, referral requests, patient records, and medication management.
- Inform management of office trends and recommend new policies or workflow improvements.
- Participate in required team meetings and communicate updates to physicians and staff.
- Keep team calendar, spreadsheets, and whiteboards current and accurate.
- Assist providers with credentialing, hospital portal access, state licenses, and professional memberships.
- Ensure compliance with Medicare Advantage Plans, HIPAA, and labor laws; report suspected breaches or compliance issues.
- Perform additional duties as assigned.
- 4–5 years of medical assisting experience (preferred).
- Minimum of 1 year of leadership experience.
- CPR certification preferred.
- Commitment to patient care and confidentiality.
- Strong oral and written communication skills.
- Accurate reading and writing of medical terminology.
- Knowledge of medical coding.
- Knowledge of HIPAA.
- Knowledge of OSHA and biohazard guidelines.
- Basic computer skills, including familiarity with electronic medical records.
- Proficiency with Google Suite and Microsoft Office for real‑time collaboration.
- Bachelor’s degree in healthcare administration or related field.
- Medical Assistant certification.
- Prior medical assisting experience.
- Clinical working knowledge: taking vital signs, reviewing medications, administering injections, dispensing medications, irrigating eyes and ears, dressing wounds/incisions, drawing blood, and assisting physicians with procedures.
- Full range of motion; handling and transferring patients, manual and finger dexterity, eye‑hand coordination.
- Ability to stand, walk, push, bend, kneel, and reach up to overhead for prolonged periods.
- Ability to lift and move patients and medical equipment as needed (up to 15 lbs).
- Corrected vision and hearing to normal range.
- Ability to operate a motor vehicle and have own means of transportation.
