About

The Role

We are seeking a committed HE Course Officer (Part Time) to support the effective delivery of College services and priorities.

An exciting opportunity has arisen at University Campus Oldham (Higher Education at Oldham College) for a Higher Education Course Officer within the HE Student Services team. The HE Student Services team provide a professional administrative support service for the Higher Education campus of the College, and are responsible for its central student administration. They provide initial advice and guidance to students throughout their Higher Education journey, from the point of their application through to graduation.

Our Student Services team are committed to supporting the provision of an excellent student experience, working closely with students, staff, internal departments, and external partners. As a Higher Education Course Officer, you would be responsible for the processing and maintenance of student records, dealing with front‑line enquiries, and provide professional administrative support to ensure that all processes and services offered by the team operate efficiently and effectively.

You will gain a good working knowledge of our information systems and student‑related policies and procedures, and use this knowledge to provide effective and efficient administrative support.

Part Time, Term Time only role

(40 weeks per year, 17 hours a week, 0.4082 FTE)

Usual Working Days:
Wednesday, Thursday and Friday

Key Responsibilities
  • Maintain accurate student records for admissions, enrolment, and assessment boards, ensuring compliance with policies and procedures.
  • Serve as a first point of contact for students, staff, and visitors, providing initial advice and guidance to support students’ needs.
  • Support key events, such as enrolment, induction, and graduation ceremonies.
  • Support examinations, including invigilation.
  • Draft and manage student communications, including letters, emails, and other correspondence.
  • Provide secretarial support at student‑focused meetings, including preparing agendas, taking minutes, and ensuring follow‑up actions are completed.
  • Oversee the processing of bursaries, scholarships, and other student funding arrangements.
  • Use IT systems and software to manage student data, produce reports, and streamline administrative processes.
  • Demonstrate a flexible and proactive approach to supporting colleagues in other areas during busy periods.
  • Carry out duties in line with College policies and procedures, including safeguarding and equality commitments.
Skills And Experience

We are looking for someone who can demonstrate:

  • Previous experience of assisting the students (or the public) in a customer service environment
  • Strong administrative and organisational skills, with the ability to work independently and as part of a team.
  • A high level of accuracy and attention to detail in all aspects of work.
  • Excellent communication (written and verbal) and interpersonal skills, with the ability to liaise confidently at all levels within the institution and beyond.
  • Strong IT skills, including proficiency in databases, spreadsheets, and email communication.
  • The ability to manage multiple priorities effectively in a fast‑paced environment.
  • A flexible and adaptable approach to work, especially during peak periods.
  • GCSE English & Maths.
