Administrative Assistant II – DSG – This position is responsible for performing a variety of administrative/clerical support tasks in an assigned area at Med Star Montgomery.
Base Pay Range$36.27/hr
Responsibilities- Administrative assistance: perform clerical tasks, maintain calendars, schedule appointments, and book meeting locations.
- Take accurate meeting minutes, compose, transcribe, and distribute correspondence, memos, reports, and clinical documents.
- Copy, laminate, fax, scan documents; create and maintain departmental program and reference files and spreadsheets.
- Participate in interview and selection of job candidates, and assist leaders with policy updates and organization of information for performance appraisals.
- Prepare and send notices to maintain employee compliance; track employee information, orientation, competency, mandatory training, certifications, and attendance.
- Coordinate office functions, staffing, and scheduling; manage purchasing, invoice tracking, and check requests.
- Prepare and collect data for statistical reports (budget, census, etc.).
- Retrieve, locate, and research information; support special projects and initiatives.
- Provide customer service by greeting callers and guests, managing telephone inquiries, and routing messages.
- Maintain confidentiality of sensitive information.
- Develop knowledge: attend training and meet mandatory requirements.
- Collaborate within and between departments; participate in inter‑departmental teams and committees.
- Maintain proficiency with computer systems such as People Soft, API, and Microsoft Office.
- High School Diploma, GED, or equivalent (required).
- 3–4 years of administrative experience, preferably in a hospital or health‑care setting (required).
- Ability to communicate with all levels of internal and external customers.
- Proficient computer skills for data entry.
- Experience with Microsoft Office (Word, Excel, Outlook, PowerPoint) is preferred.
- Basic medical terminology is preferred.
- Knowledge of HIPAA confidentiality policies.
