Administrative Assistant Job Overview

Johnson Restoration Services is seeking a detail-oriented and organized Administrative Assistant to join our team. In this role, you will provide essential support to our office operations, ensuring smooth day-to-day functioning and exceptional service to our clients and staff. The ideal candidate is a proactive multitasker with excellent communication skills and a passion for keeping things running efficiently.

  • Reports To: General Manager
  • Salary Range: $15-$25/hr, based on experience
Key Responsibilities
  • Office Support: Answer and direct phone calls, manage emails, and greet visitors in a professional and friendly manner.
  • Scheduling: Coordinate appointments, meetings, and calendars for staff, ensuring timely communication and reminders.
  • Documentation: Prepare, edit, and maintain documents, reports, and correspondence, including contracts, invoices, and memos.
  • Data Management: Enter and update client and project information in our database, maintaining accuracy and confidentiality.
  • File Organization: Organize and maintain physical and digital filing systems for easy access and retrieval.
  • Supply Management: Monitor and order office supplies, ensuring the team has the resources needed to succeed.
  • Support Projects: Assist with administrative tasks for projects, such as scheduling site visits or tracking project progress.
  • Customer Service: Respond to basic client inquiries and escalate complex issues to the appropriate team member.
  • Event Coordination: Help plan and execute company events, meetings, or training sessions as needed.
  • Other Duties: Perform additional tasks as assigned to support the team and company goals.
Qualifications
  • Education: High school diploma or equivalent preferred.
  • Experience: 1-2 years of administrative or office support experience preferred, but entry-level candidates with strong skills will be considered.
  • Technical

    Skills:

    Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic familiarity with office equipment (e.g., printers, scanners).
  • Communication: Excellent verbal and written communication skills, with a professional and courteous demeanor.
  • Organization: Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Attention to Detail: High accuracy in data entry, document preparation, and record-keeping.
  • Team Player: Ability to collaborate with team members and adapt to a fast-paced environment.
  • Problem-Solving: Proactive approach to identifying and resolving issues independently when appropriate.
Preferred Skills
  • Experience with CRM software (e.g., LeapCRM, Salesforce, Goldmine, etc...) or project management tools (a plus, but not required).
  • Familiarity with the construction or restoration industry (a plus, but not required).
Physical Requirements

Ability to sit for extended periods, use a computer, and occasionally lift up to 20 pounds (e.g., office supplies).
