The Executive Administrative Assistant provides high-level support to senior HR and IT leaders, managing calendars, meetings, travel, and communications with professionalism and discretion. This role coordinates department events, handles office and supply purchasing, processes expenses, and maintains subscriptions. It also supports team-building activities, special projects, and cross-functional initiatives, while ensuring smooth operations through collaboration with other executive assistants. Strong organizational skills, attention to detail, and proactive problem-solving are essential.
Essentialjob duties include but are not limited to:
- Provides comprehensive administrative support to both the VP & CTO, VP of HR & CPO, and Sr Director of HR including managing calendars, arranging meetings, and organizing and prioritizing inbox. Prepares, edits and formats correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism. Anticipates needs and proactively manages priorities, ensuring leaders are prepared for meetings and events;
Serves as a primary point of contact between executives and internal/external stakeholders, handling inquiries with professionalism and discretion. - Maintains office supply/paper product/food & beverage inventory and places orders for HR and IT. Coordinates and controls the purchasing of business cards and nameplates company-wide. Acts as backup for IT telco purchasing.
- Plans and coordinates HR leadership team & IT leadership team meetings, department meetings, and off-site events, including agenda preparation, materials distribution, food/beverage ordering, and logistics.
- Prepares monthly Visa Clarity Spend expenses and manages dues and subscription accounts for various HR department & IT department.
- Coordinates travel arrangements (includes air, hotel and car) for Vice Presidents, Directors, and Managers, obtaining the most cost-effective and most convenient method of travel. Coordinates seminar/conference registrations and ensures proper documentation is submitted prior to deadline including expense reporting.
- Works with team members to plan and coordinate HR team member and IT team member events/outings like the Fun Committee, Brew Crew, and holiday events. Ensures adherence to budget.
- Supports special projects and initiatives within Human Resources and IT, collaborating with cross-functional partners as needed.
- Manages PTO process for IT team members.
- Partners with other executive assistants to ensure alignment, communication, and smooth operations across the executive leadership team; provides back-up coverage for other Executive Administrative Assistants and performs other miscellaneous duties as requested.
- Performs all other duties as assigned
- 2- year college degree or equivalent
- Minimum 3-5 years of experience supporting senior executives, preferably within technology and/or human resources environments.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams, Zoom, and Slack.
- Operate a copy/fax/scanner machine
- Type 60-70 WPM
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills; professional and polished demeanor.
- High level of integrity, confidentiality, and emotional intelligence.
- Strong attention to detail with proven ability to anticipate needs and take initiative.
