Coordinator – Customer Service (Order Clerk) – 1st Shift
Monday to Friday, 8:00 AM – 5:00 PM in Omaha, NE at Walman Optical.
About the RoleWalman Optical, part of Essilor Luxottica, serves independent eye care professionals with advanced technology and products. As a Customer Service Coordinator, you will manage customer and vendor relationships, handle orders and quotations, and ensure smooth operations across departments.
General FunctionThe Customer Service Coordinator is responsible for building and maintaining customer and vendor relationships, managing requests for quotations, stock orders, returns, purchase orders, and coordinating with other departments to deliver the best service.
Duties and Responsibilities- Fully coordinate the ordering, assembly, packaging, premium inclusion, and marking of frames for monthly auto‑kit mailings.
- Maintain the customer lists for participating auto‑ship accounts.
- Receive and process requests for price quotations, orders, order changes, adjustments, and cancellations from customers and labs.
- Achieve and maintain a strong rapport with customers to deliver excellent service.
- Use PC to retrieve customer, stock status, and order information; make changes to customer orders and ensure correct product codes.
- Create spreadsheets, memos, and email communications using Microsoft Office.
- Troubleshoot issues raised by co‑workers and customers.
- Cross‑train and cover all department areas for vacation/illness.
- Write and update documentation for all department areas.
- Sort and deliver mail to inter‑department personnel and perform mid‑day department computer backup.
- Communicate company policies, promotions, and contracts diplomatically.
- Maintain a neat, clean, organized work area and comply with attendance and safety rules.
- Assist others to meet deadlines and maintain workload balance.
- Provide training, direction, and technical guidance for less experienced coworkers.
- Perform other duties as assigned.
- High school diploma, GED, or equivalent experience.
- 3+ years of experience in customer service, hospitality, or call center.
- Excellent telephone etiquette and composure with difficult customers.
- Ability to perform all clerical and computer functions to support lab operations, sales, and marketing.
- Strong verbal and written communication skills.
- Good organizational skills with attention to detail and numerical accuracy.
- Proficient in MS Office, Outlook, Word, and Excel.
- Ability to lift/move up to 40 pounds.
- Optical knowledge considered a preferred qualification.
Competitive pay ($35,000 – $50,000) with potential performance bonus and commission. Eligible for health care, retirement savings, paid time off/vacation, and employee discounts.
