Job Summary

HIM Senior Specialist – Lakeside Hospital at Conifer Health Solutions. This position is responsible for providing HIM support in maintaining the Department’s paper and electronic health record system. The specialist will understand privacy and security guidelines related to patient information, maintain HIPAA compliance, and keep all patient information confidential. The key duties rely heavily on the ability to learn and navigate efficiently within an electronic health record.

The incumbent must communicate orally and in writing clearly and effectively in English, work in a fast‑paced environment, and develop sound professional relationships. This role is responsible for advanced functions within the Health Information Management Department.

Essential Duties and Responsibilities

  • Responsible for functions per HIM leadership including prepping, scanning, and QX/indexing within Document Imaging to ensure records are prepped, scanned, QC/Indexed into the Document Management Solution/EMR on time.
  • For paper‑based sites: scanning and uploading medical records into a document management application (e.g., Vital Chart Chart Flow) for remote coding access, including data related to prepping for scan.
  • Document Chart Analysis (Records/Hr by patient type): analyze medical records for completion; assign and reassign provider deficiencies as needed per regulatory guidelines and facility policy.
  • Support missing documentation and provider queries as needed.
  • Complete birth and/or death certificates in accordance with state law, including contact with parents within the facility‑specific timeframe.
  • Chart pick up (rounding) and reconciliation.
  • Perform data integrity duties (chart correction, duplicate medical records, etc.).
  • Meet productivity expectations based on job function (document imaging / analysis).
  • Maintain productivity metrics and time for monitoring.
  • Assist internal and external agencies with patient record requests, prioritizing appropriately.
  • Answer phones, process continuity of care requests, retrieve records, and file records (as assigned by HIM Leadership).
  • Other duties as assigned.
Knowledge, Skills, Abilities
  • PC skills – proficiency in keyboard operations, Microsoft Office applications, and other required software.
  • Customer orientation – establish and maintain long‑term customer relationships, building trust and meeting expectations.
  • Privacy and security – understanding of privacy and security of patient information.
  • Vital statistics – birth certificate and paternity acknowledgement procedures.
  • Organization – prioritize assignments and multitask efficiently.
  • Quality orientation – check processes and tasks carefully, ensuring accuracy over time.
  • Work independently – self‑supporting and not reliant on others to complete a job.
Education / Experience
  • Minimum:
    High School diploma or equivalent.
  • Preferred:
    Two (2) years’ experience in a hospital Health Information Management Department.
Certificates, Licenses, Registrations
  • Preferred: RHIT or RHIA certification.
Physical Demands
  • Ability to sit for extended periods of time.
  • Must efficiently use computer keyboard and mouse to perform coding assignments.
  • Ability to lift up to twenty‑five (25) pounds.
Work Environment
  • Pleasant inside environment.
  • Light physical effort.
  • Intense mental concentration and stress.
  • Subject to exposure to infectious conditions and minor hazards such as muscle sprains, cuts, and bruises.
Other
  • The ideal candidate will have previous Health Information Management experience.
