RoleSummary
The Accounts Payable Coordinator is responsible for the accurate setup, maintenance, and ongoing management of vendor records within the accounting systems. This role ensures that all vendor data, including banking (EFT/ACH) information, is accurate and up to date to facilitate timely and secure payments. The position works closely with internal departments and external clients to maintain data integrity and compliance in adherence with company policies and regulatory standards.
This position follows a hybrid work model, requiring regular in-office presence with flexibility for remote work on designated days.
Responsibilities- Maintain and update vendor records to ensure accuracy and completeness
- Identify and suggest improvements to vendor setup processes and controls
- Contact clients to verify payment method setup and changes
- Assist in-office with organizing office materials, including putting away envelopes and other printing supplies
- Enter vendor and payment records accurately into accounting or ERP systems while maintaining confidentiality
- Build and maintain positive relationships with clients and internal departments by responding promptly and professionally to clients via phone and email
- Support special projects, including annual 1099 preparation and other seasonal reporting
- Perform additional administrative and operational tasks as needed to support department efficiency
- Print checks for accounts payable and ensure all payment details are accurate
- Handle outgoing mail and accounts payable checks, including trips to the post office/Fed Ex office
- Assist with audit requests by gathering and preparing required documentation
- Provide support to Accounts Payable Analysts and other team members with various tasks as needed
- Perform other duties as assigned
- Generally, any combination of education that would provide the required knowledge and skills for successful performance would qualify. A typical method of demonstrating these requirements would be:
- EDUCATION: Minimum of 2 years college preferred
- EXPERIENCE: Prior experience in accounts payable, finance operations, or related field preferred
- KNOWLEDGE OF:
- Purposes, methods, and practices of financial and accounting record keeping
- Proficient accounting software and Microsoft Office (Word, Excel, Outlook) skills
- Proper and effective use of English grammar and communication skills (oral and written)
- Ability to effectively listen to and empathize with clients
- Candidates must also have the ability to:
- Align with Charter Impacts core beliefs and business philosophy
- Maintain, encourage and participate in a close and highly collaborative team environment with clients and Charter Impact staff
- Adapt quickly to change
- Learn the appropriate rules, regulations and technical procedures specifically related to processing accounts payable for non-profit organizations and charter schools
- Understand and carry out directions in an independent manner
- Have strong attention to detail and organizational skills
- Effectively communication skills, both written and verbal
- Handle sensitive financial information with discretion
- Provide excellent communication and interpersonal skills
- Experience with the following is a plus:
- Sage Intacct Accounting
- Any third-party procurement system

$24 - $26 an hour
This position has a base hourly rate of $24.00 - $26.00 per hour, with the opportunity to earn an annual discretionary bonus. The amount a particular employee will earn within the salary range will be based on factors such as relevant education, qualifications, performance, business needs and business results.
