Job Description
The Freight Audit Representative reviews and validates freight invoices, ensures accurate billing and freight activity records, and supports transportation operations through timely issue resolution and month‑end reconciliations. This role works closely with carriers and internal transportation teams to resolve discrepancies, maintain accurate financial records, and support continuous improvement in freight payment and audit processes.
Responsibilities- Review all freight invoices for completeness and accuracy, ensuring that charges, rates, and supporting details are correct.
- Validate the occurrence of freight movements to confirm that invoiced services match actual transportation activities.
- Advise carriers when invoice information is missing, incomplete or incorrect, and provide clear guidance on required corrections.
- Respond to all carrier inquiries within one business day to address and resolve billing issues promptly.
- Work closely with internal transportation operational staff to resolve invoice validation issues, rate discrepancies, and other billing concerns.
- Validate and update freight activities in relevant systems to ensure accurate and timely invoicing.
- Prepare accurate and timely monthly carrier accruals that reconcile with carrier reconciliations.
- At each period end, prepare carrier reconciliations to ensure accuracy, address carrier statement aging issues, and support adherence to vendor payment terms.
- Support month‑end activities and reconciliations, including reviewing freight‑related financial data and ensuring proper documentation.
- Perform ad‑hoc requests related to freight audit, invoicing, reporting, and analysis as required by the business.
- Collaborate with finance and accounts payable teams to ensure accurate freight payments and alignment with accounting practices.
- Use Excel, TMS, and ERP systems to analyze data, manage invoices, and support reporting and audit activities.
- Hands‑on experience in freight audit, including reviewing and validating freight invoices for accuracy and completeness.
- Experience with freight payment processes and accounts payable, including invoicing and payments.
- Practical knowledge of the transportation industry and transportation terminology.
- Experience working with Transportation Management Systems (TMS).
- Proficiency in Microsoft Excel, including pivot tables, HLOOKUP, VLOOKUP, formulas, and data analysis.
- Experience using large ERP systems such as Oracle or People Soft, or similar logistics and accounting platforms.
- Background in logistics or supply‑chain environments.
- Audit experience, particularly in freight or financial audit contexts.
- Degree or diploma in Accounting, Finance, Mathematics, Statistics, or Engineering.
Skills & Qualifications
- Experience with Quick Books or other accounting and logistics‑related ERP systems.
- Exposure to logistics, transportation, or fleet operations environments.
- Strong analytical skills with the ability to interpret and reconcile large data sets.
- High attention to detail and accuracy in financial and invoice‑related work.
- Ability to manage multiple priorities, especially during month‑end and period‑end close activities.
- Strong communication skills for interacting with carriers, internal transportation teams, and finance stakeholders.
- Comfort working in audit‑focused roles that require thorough documentation and compliance.
The role is based in a campus‑style office environment in Oakville, Ontario. The standard work schedule is 9:00 a.m. to 5:00 p.m., with a 37.5‑hour work week and the possibility of overtime, particularly around month‑end and period‑end activities. The position follows a hybrid work model, with four days per week in the office and Fridays working from home. The team environment includes working alongside a group of approximately 16 colleagues, including two team leads, in a collaborative and operationally focused setting.
