Job Description & How to Apply Below

The Title Wave Inc. is a full-service, attorney-owned title and escrow company. We’ve been closing Florida real estate since 1996, with headquarters in Boca Raton, offices across South Florida, and closings in all 67 counties. Our team has more than 75 years of combined experience, and we work with top-rated underwriters including Old Republic Title and Fidelity National Title Group.

Florida sets title insurance rates, so every company charges the same. Clients choose us for how their file gets handled.

The role

We’re hiring an experienced Bookkeeper to own the books for both sides of our business: the escrow trust accounts that hold our clients’ money, and the company’s operating accounts. This is a full-time, fully remote position open to candidates anywhere in the United States.

This is not an entry-level role. Every dollar that comes through a closing passes through accounts you reconcile, so accuracy matters more here than almost anywhere else in the company. You’ll work closely with our escrow officers, post-closing team, and attorney, and you’ll be the person who knows where every dollar is.

What you’ll do
  • Run the daily three-way reconciliation of our escrow accounts, matching the bank balance, the book balance, and the escrow trial balance, and resolve variances the same day
  • Prepare the monthly escrow reconciliation package and submit it to our underwriters on time
  • Review positive pay exceptions daily and research uncleared and stale items
  • Post incoming wires and deposits to the correct files and confirm funds for our closers
  • Process earned-fee transfers from escrow to operating after each closing
  • Calculate and remit title premiums to our underwriters, and reconcile remittance reports
  • Track open file balances and outstanding checks, and handle unclaimed property notices and Florida’s annual report
  • Prepare and file 1099-S forms for closed transactions
  • Manage operating accounts payable and receivable, vendor bills, and bank and credit card reconciliations in Quick Books
  • Support payroll with our payroll provider
  • Close the books each month and prepare financial statements for ownership
  • Support underwriter audits and our CPA at year-end
  • Follow our written escrow procedures, including dual approval of disbursements and wire verification
What you need
  • 3+ years of full-charge bookkeeping experience
  • Experience reconciling escrow, trust, or IOLTA accounts, ideally at a title company, real estate law firm, or settlement agent
  • A working understanding of three-way reconciliation, and why a negative file balance is never acceptable
  • Proficiency in Quick Books and Excel
  • Experience with title production software such as Qualia, Soft Pro, or Ram Quest, or the ability to learn it quickly
  • Strong attention to detail and the discipline to work through a reconciliation until it ties to the penny
  • Discretion with confidential client and financial information
  • Clear written communication with closers, underwriters, and outside accountants
  • Availability during Eastern business hours, wherever you’re located
Nice to have
  • Familiarity with Florida title agency escrow rules or Florida Bar trust accounting rules
  • Experience with ALTA Best Practices or underwriter escrow audits
  • An associate’s or bachelor’s degree in accounting or a related field
  • Experience with 1099-S reporting and unclaimed property filings
Compensation and benefits
  • $60,000–$72,000 base salary, depending on experience
  • Medical, dental, and vision insurance
  • 401(k) with company match
  • Paid time off and company holidays
  • Company laptop and software provided
Schedule and location

Full-time, Monday through Friday, 8:30 a.m. to 5:30 p.m. Eastern. Month-end and underwriter reporting deadlines can run longer. Fully remote within the United States.
