Accounts Payable Specialist

Our client is looking for an AP Specialist / Cash Rec Specialist to process day-to-day transactions for U.S. clients in Quick Books. You’ll work from written procedures and the client’s chart of accounts. Your work is reviewed by a U.S.

-based staff accountant, who is your point of contact for questions and exceptions. You won’t contact clients, vendors, or funders directly.

Monday through Friday, 9:00 am to 5:00pm Central time

• Record deposits from bank feeds and match them to deposit detail.
• Enter donation batches from donor platform reports.

• Import and code credit card transactions.
• Match receipts to transactions.
• Keep a missing‑receipts list for the U.S. team to follow up.
• Enter vendor bills and attach invoices.
• Apply standard coding.
• Prepare draft payment‑run lists for review.

• Update the register from coded capital purchases.

• Pull supporting documents for audit sample selections.

• Complete transaction entry and draft reconciliations by about business day 5 each month.

• Follow SOPs exactly.
• Log exceptions and open questions in the team tracker.
• Suggest SOP updates when a procedure is unclear.

• 5+ years of bookkeeping or accounts processing experience, ideally for U.S. clients.
• High accuracy and attention to detail with high-volume entry.
• Clear written English for logging questions and exceptions.
• Ability to meet month‑end deadlines consistently.

• Experience with U.S. nonprofit clients or class/program tracking in Quick Books.
• Familiarity with receipt‑capture or AP tools (e.g., , Qu).
